Purpose

The Assistant Production Supervisor provides administrative support to the Production Department and assists in managing assigned productions. Focusing on the efficient organization, communication, and execution of production-related tasks, this role ensures that all production administrative needs are managed. The Assistant Production Supervisor ensures the smooth flow of information and resources within the department and across stakeholders. By supporting other production team members and effective departmental processes, the Assistant Production Supervisor enables artists to fully realize their visions and create exceptional experiences for audiences.

Responsibilities
  • Production Planning:
    Documentation Management:
    Maintain and update the Texas Performing Arts (TPA) database with accurate and current production information, including light plots, ground plans, lineset schedules, input lists, crew lists, production schedules, and crew catering needs. Edit, streamline, and create new documents and procedures as assigned. Scheduling and Coordination:
    Assist in scheduling production meetings, coordinating with other departments and external parties to ensure timely and effective communication. Vendor Engagement:
    Coordinate orders, track deliveries, and manage vendor communications to ensure timely fulfillment of production needs. Compliance Support:
    Assist in consulting with other university departments to ensure compliance with relevant codes and regulations, including fire codes, occupancy limits, life safety systems, and health and safety regulations. Work Orders & IT Requests:
    Submit and track work orders and tickets for event-specific information technology needs, ensuring timely completion of tasks.
  • Production Operations:
    Production Supervision:
    Supervise assigned events independently or in collaboration with the Production Supervisors, ensuring that events run smoothly and all operational needs are met. Production Planning:
    Collaborate with the Director of Production and Production Supervisors to create production budget estimates for assigned projects. Translate production advance information into TPA's venues, equipment inventory, and staffing requirements. Production Support:
