Public programs include Broadway in Austin, international dance/theater/music seasons, and the Texas Welcomes series. The Assistant Production Supervisor provides administrative support to the Production Department and assists in managing assigned productions. The role focuses on organized, effective production administration to ensure smooth information and resource flow and to enable artists to realize their visions and deliver exceptional audience experiences.
Responsibilities- Production Planning:
Maintain and update the TPA database with production information (light plots, ground plans, lineset schedules, input lists, crew lists, production schedules, crew catering needs). Edit and create documents and procedures as assigned. Scheduling and Coordination:
Assist in scheduling production meetings and coordinating with other departments and external parties. Vendor Engagement:
Coordinate orders, track deliveries, and manage vendor communications. Compliance Support:
Assist in ensuring compliance with codes and regulations (fire codes, occupancy limits, life safety, health and safety). Work Orders & IT Requests:
Submit and track work orders for event-specific IT needs. - Production Operations:
Supervise assigned events with the Production Supervisors, assist in budgeting estimates, translate advance information into venue, equipment, and staffing needs. Ensure contractual obligations are met. Post-Production:
Process production vendor invoices and create daily production/show reports with the team. - Other Duties as assigned.
- Experience in Production Management:
At least 5 years in construction of theatrical costumes or scenery and/or 3 years of supervisory experience in production management or related roles in performing arts or entertainment. - Familiarity with Theatrical Production Processes:
Understanding of lighting, sound, staging, and production schedules. - Proficiency in Software:
Experience with production management software and MS Office. - Database Management:
Ability to manage production-related databases with accuracy. - Excellent Communication:
Strong verbal and written communication with diverse stakeholders. - Interpersonal
Skills:
Ability to work collaboratively in a dynamic team. - Strong Organizational Abilities:
Ability to manage multiple projects, prioritize, and meet deadlines. - Attention to Detail:
Meticulous in documentation and scheduling. - Creative Problem-Solving:
Ability to anticipate and address production challenges. - Adaptability:
Flexibility to changing circumstances. - Understanding of Safety Regulations:
Knowledge of safety regulations, building and fire codes, and health and safety standards for Venues.
- Beyond minimum experience; experience in arts presenting/producing organizations or multi-venue settings.
- Experience with drafting software (AutoCAD, Vectorworks).
- Experience with international artists and productions.
- Experience in an educational setting; teaching or mentorship experience.
- Fluency in a non-English language.
Salary Range: $55,000+ depending on qualifications
Working Conditions- Based in Austin, TX with residency in the greater Austin area.
- Repetitive keyboard use, prolonged screen time, manual dexterity.
- Climbing stairs and ladders, working at height.
- Pushing, pulling, lifting, and moving up to 50 lbs.
Evening, weekend, and holiday work required for performances and events. Shifts may exceed 40 hours per week at peak times with compensatory time provided.
