Purpose

Under the direction of the Facilities Maintenance Manager, the Facilities Maintenance Specialist is responsible for supporting facility‑related requests and the activities of maintenance technicians, vendors and contractors engaged in a variety of duties which may include HVAC, mechanical, electrical, carpentry, plumbing, painting, building, grounds, janitorial and equipment maintenance. Carries out all duties while maintaining compliance and confidentiality and promoting the mission and philosophy of the organization.

Functions
  • Participates in receiving facility‑related purchase orders where applicable.
  • Reconciles any facility‑related purchase order/invoice discrepancies.
  • Processes purchase requisitions for approval by Facilities Maintenance Manager.
  • Maintains files for agreements, purchase orders, construction projects, inventories and other activities as requested.
  • Places work orders for all facility locations.
  • Issues access cards and keys and revises listings for all facility locations.
  • Communicates with internal customers regarding service requests and outside vendors pertaining to orders.
  • Creates and maintains follow‑up files for supported personnel for monitoring and tracking of projects and ongoing activities.
  • Assists in planning, coordination and participates in the work of maintenance technicians, vendors and contractors responsible for facility construction, renovation and maintenance.
  • Inspects and assures work performance for exactness, neatness and conformance to applicable policies and procedures, safety, fire, federal, state and local codes.
  • Establishes schedules and methods for providing facility maintenance services; identifies resource needs; reviews needs with appropriate management staff.
  • Maintains a scheduled preventative maintenance and safety inspection program for all facilities and equipment including HVAC, fire, mechanical, electrical and other medical equipment.
  • Participates in the development of goals and objectives as well as policies and procedures; makes recommendations for changes and improvements to existing standards, policies and procedures; participates in the implementation of approved policies and procedures; monitors work activities to ensure compliance with established policies and procedures.
  • Participates in the preparation and administration of the facility maintenance budget; submits budget recommendations; monitors expenditures; prepares cost estimates; submits justifications for equipment; monitors budget expenditures.
  • Monitors and controls supplies and equipment; orders supplies and tools as necessary.
  • Attends training in facility maintenance and safety methods, procedures and techniques.
  • Coordinates special assigned projects as needed.
  • Assists in the preparation of various contracts, requests for proposals and reports.
  • Attends and participates in professional group meetings; maintains awareness of new trends and developments in the field of facility maintenance; incorporates new developments as appropriate into programs.
  • Investigates complaints and recommends corrective action as necessary to resolve complaints related to vendors and outside parties.
  • Adheres to all company policies, including but not limited to, OSHA, HIPAA, compliance and Code of Conduct.
  • Regular and dependable attendance due to teamwork, face‑to‑face interaction with patients and/or working with equipment.

  • Works holiday shift(s) as required by Company policy.

Qualifications

Education and Experience

Required: High school diploma or equivalent. Must have five (5) or more years of experience in construction and/or general maintenance of facilities with emphasis on mechanical, electrical, carpentry, plumbing, painting, building, grounds and equipment maintenance activities.

Preferred: A two‑year degree or two‑year of formal training beyond the high school level in general maintenance and repair or closely related area(s) is preferred.

Work Schedule

Monday - Friday 8AM - 5PM
