Salary Range: $2,566 monthly + depending on qualifications (based on 32 hour work week)

Responsibilities
  • Patient Registration:
    Complete patient check-ins and check-outs; collect and verify demographic and insurance information, including identification, contact details, and insurance coverage.
  • Appointment Scheduling:
    Schedule follow-up appointments for various services; ensure appointments are logged and confirmed with patients.
  • Insurance Verification:
    Verify eligibility and coverage; ensure necessary pre-authorizations and referrals are in place prior to appointments; inform patients of benefits and potential financial responsibilities.
  • Payment Collection:
    Collect co-pays, deductibles, and outstanding balances; provide receipts and document transactions; coordinate with the billing department to resolve discrepancies.
  • Customer Service:
    Provide high-quality service to patients; act as a liaison between patients and clinical staff; address questions or concerns regarding appointments, billing, and services.
  • Data Entry and Record Management:
    Input and update patient information in the Electronic Health Record (EHR); maintain confidentiality and HIPAA compliance.
  • Patient Communication:
    Communicate appointment details, wait times, and required pre-visit documentation; conduct appointment reminders and follow-ups.
  • Collaboration with Clinical and Administrative Teams:
    Work with providers, nurses, and staff to support workflow and patient care; troubleshoot scheduling conflicts.
  • Problem Solving and Conflict Resolution:
    Address patient concerns; escalate as needed; use de-escalation techniques.
  • Compliance:
    Ensure interactions comply with policies, legal standards, and insurance guidelines; stay informed on regulations related to patient access and data privacy.
  • Phone Call Management:
    Answer calls promptly and professionally; direct inquiries to appropriate departments; provide accurate information on appointments, services, and insurance.
  • Other duties as assigned.
Qualifications
  • Required: High school diploma or GED; minimum of 2 years in a healthcare setting or customer service; proficiency in EHR systems and scheduling software; knowledge of medical terminology and healthcare insurance plans; strong written and verbal communication; exceptional customer service and conflict resolution skills; ability to multitask in a fast-paced environment; attention to detail and accuracy in data entry; basic math skills for handling payments.
  • Relevant education and experience may be substituted as appropriate.
  • Preferred: Experience in patient access, registration, or medical office administration; familiarity with HIPAA and compliance standards; bilingual in English and Spanish; experience with insurance verification and authorizations; knowledge of referral and pre-authorization processes; experience in multi-specialty or high-volume medical offices.
