Overview
Texas Oncology, part of the U.S. Oncology Network, is recruiting a Surgery Support Coordinator to join our Gynecologic Oncology clinic in North Austin (12221 Renfert Way Suite 300, Austin, Texas 78758). This is a full‑time position (Monday‑Friday, 7:45 a.m. – 4:30 p.m.) with no weekend, on‑call, or major holiday duties. The level of the role (Level 1, Level 2, or Level
3) will be determined by relevant candidate experience.
Under minimal supervision, the coordinator manages internal surgery scheduling from physician orders. Key responsibilities include reserving operating room dates, scheduling anesthesia and surgical staff, coordinating pre‑operative testing, obtaining insurance authorizations, and communicating surgical information to patients. The role also involves training and supervising lower‑level staff and adhering to the U.S. Oncology Compliance Program.
Responsibilities- Plan, implement, coordinate, evaluate, and promote continuity of care in line with established standards and practices.
- Review patients’ medications and health histories; assess impact on surgical clearance from other care providers.
- Coordinate, schedule, and authorize pre‑operative clearance testing and diagnostic imaging (e.g., CT, MRI, US, X‑Ray).
- Scan surgery documents into EMR as applicable (signed orders, consents, cardiac clearance, authorizations).
- Serve as a patient advocate and liaison between the patient, payor, office, and facility to answer questions and resolve issues.
- Ensure reports (e.g., pathology, OR, other) are captured in the chart.
- Surgical pathology reports are in chart.
- All patients have returned to the office as ordered, including stent removals/exchanges.
- Obtain missing pathology reports.
- Schedule any needed appointments not already scheduled, either self or via the physician clinic scheduler.
- Sequence, prioritize, follow up, and multi‑task across multiple provider inputs.
- High school diploma or equivalent.
- 0‑2 years of surgical practice/office work experience, including insurance authorization, verification, and scheduling, with the ability to explain patient responsibility under their benefits plan.
- Knowledge of medical and surgical terminology.
- Excellent verbal and written communication skills; ability to multitask.
- Proficiency with Microsoft Office (Outlook, Word, Excel).

- At least three years of experience in a clinical or procedural scheduling environment, including insurance authorization, verification, and scheduling, with the ability to explain patient responsibility under their benefits plan.

- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- At least five years of surgical practice/office work experience, including insurance authorization, verification, and scheduling, with the ability to explain patient responsibility under their benefits plan.

Physical RequirementsThe role requires full range body motion, manual and finger dexterity, eye‑hand coordination, and occasional lifting or carrying of items up to 40 lbs. Corrected vision and hearing to normal range are required.
