The Project Accounting Coordinator provides essential administrative and financial support to the Project Controller team. This role assists with invoicing, maintaining accurate financial documentation, supporting cost tracking and reporting, and ensuring data consistency across project control systems.

This position plays an important role in supporting efficient financial operations within a project-driven environment and contributes directly to the accuracy, organization, and effectiveness of project accounting processes.

Key Responsibilities
  • Support Project Controllers with customer invoicing.
  • Assist with accounts payable processes as required.
  • Track and process project requisitions and payments.
  • Maintain vendor invoice logs and ensure alignment with project budgets and contractual agreements.
  • Organize and maintain financial and project control documentation, including budgets, forecasts, change orders, invoices, and cost reports.
  • Collect and enter project-related financial data into control systems and spreadsheets.
  • Ensure accuracy and consistency of financial data across project files and databases.
Cost Tracking Support
  • Assist in tracking committed costs, actual costs, and variances under the guidance of a Project Controller.
  • Create and manage cost codes within the time tracking system.
  • Reconcile financial data between internal systems and project reports.
Reporting Support
  • Assist in preparing regular project cost reports.
  • Compile data for monthly and periodic financial reviews.
Administrative & Team Support
  • Schedule meetings and organize documentation for financial reviews.
  • Maintain organized filing systems for financial and contractual records.
  • Provide general administrative support to the Project Controls team as needed.

Qualifications Education & Experience
  • Degree or diploma in Accounting, Finance, Business Administration, or a related field preferred (or equivalent experience).
  • 1–2 years of experience in an administrative or financial support role is considered an asset.
Technical Skills
  • Proficiency in Microsoft Excel.
  • Strong attention to detail and high level of accuracy.
  • Excellent organizational skills with the ability to manage multiple priorities.
  • Ability to maintain confidentiality of financial information.
Preferred Skills
  • Basic understanding of financial concepts such as budgets, actuals, variances, and accruals.
