Job Summary

Working as a Lobby Ambassador will allow you to work with GREAT people who are passionate about delivering superior hospitality to our premier client. You will be surrounded by individuals who share in our belief in the quality value of delivering exceptional service. The Lobby Ambassador will be responsible for engaging all Clients, Guests, Vendors, and Employees entering the lobby and reception center, and will display an energetic, friendly, and approachable demeanor at all times.

Responsibilities
  • Able to speak freely and warmly, engaging clients and guests while efficiently checking them in at the Reception Desk or escorting them to their destination.
  • Follow all security procedures and ensure visitors are properly registered.
  • Ensure visitors remain in the Reception area until escorted by IBM personnel.
  • After proper security screening and IBM approval, escort guests to meeting spaces on the 2nd floor as needed.
  • Gain an understanding of the client culture, key areas of activity and create “transparency” by serving as an extension of the client.
  • Manage all activity in the internal visitor greeting process using the IBM Visitor Tool. Be knowledgeable on all daily meetings and up-to-the-minute changes.
  • Act as the first point of contact for all activities and emergencies, remaining alert. Take ownership of challenges and resolve them or follow escalation procedures as required.
  • Conduct daily overall 2nd Floor Reception inspections and liaise with Rapport Conference Aides and FM Supplier to maintain facilities.
  • Assist in conference room readiness inspections to ensure rooms are equipped with event materials (pads, pencils, handouts).
  • Respond to all requests directed to Reception Desk (in-person, Slack, email, etc.). Manage on-floor conference room activities, including reservations, meeting times, attendees, and food/beverage orders; communicate changes in meeting room status to appropriate staff.
  • Communicate requests to the appropriate internal support departments.
  • Understand emergency procedures and be prepared to carry out designated tasks in the event of a fire or other emergency.
  • Adhere to dress code and maintain a professional appearance.
  • Troubleshoot a wide variety of requests and situations for guests and employees.
  • Act as way-finders and hospitality services resource for all guests.
  • Maintain a clear, presentable working area at all times.
  • Other duties as assigned.
Minimum Qualifications
  • Flexible and team-oriented attitude.
  • Passionate about great customer service and ensuring employees/visitors have a positive experience when entering the building.
  • Ability to quickly establish positive and productive relationships with colleagues, vendors, and the firm’s employees and guests.
  • Positive attitude with the ability to remain flexible and patient in high-pressure scenarios.
  • Able to remain mobile and/or standing for extended periods during the workday.
  • Inquisitive mindset that enjoys investigating issues to resolve them quickly.
  • Experience in a client service/reception position is preferred.
