Proposal Manager

A prestigious Architecture firm is seeking an experienced Proposals Manager to lead and manage the proposal development process for our firm in Austin! This role is responsible for coordinating and producing high-quality proposals, qualifications packages, and marketing materials that support the firm’s business development and pursuit strategy.

The Proposals Manager will collaborate closely with firm leadership, architects, project managers, and the marketing team to position the firm competitively for public and private sector opportunities. The ideal candidate is highly organized, detail-oriented, and skilled at managing multiple deadlines in a fast-paced environment.

• Lead the end-to-end development of proposals, RFQs, and RFP responses for architectural projects
• Manage proposal schedules, deadlines, and submission requirements
• Coordinate with principals, project managers, and technical staff to gather content and project information
• Ensure proposals clearly communicate the firm’s qualifications, design approach, and project experience
• Maintain compliance with client submission requirements and formatting guidelines

• Write, edit, and proofread proposal narratives, executive summaries, and project descriptions
• Maintain and update proposal templates, resumes, project sheets, and marketing collateral
• Support interview preparation and presentation materials for shortlisted pursuits
• Assist with branding and messaging to align with the firm’s strategic positioning

• Participate in go/no-go discussions and pursuit strategy meetings
• Conduct research on clients, competitors, and project opportunities
• Work with leadership to tailor proposals to client priorities and evaluation criteria

• Maintain proposal databases, project experience libraries, and CRM systems
• Continuously improve proposal processes, templates, and efficiency
• Track proposal activity, wins, and metrics

• Bachelor’s degree preferred but not required
• 3+ years of proposal management experience in architecture, engineering, or construction (AEC) industry
• Strong writing, editing, and proofreading skills
• Experience managing complex proposals and tight deadlines
• Proficiency with Adobe InDesign, Microsoft Office, and proposal management tools
• Ability to collaborate effectively with technical professionals and leadership

• Experience with public sector RFQs/RFPs in Texas
• Familiarity with architecture project delivery methods and terminology
• Experience supporting interview presentations and pursuit strategy
• Exceptional organization and time management
• Ability to manage multiple priorities simultaneously
