We are hiring a full-time Client Intake Specialist to serve as the first point of contact for prospective clients and manage the full intake lifecycle from initial inquiry through engagement. This is a full-time, in-office position based in Austin, Texas. Candidates outside of Austin, TX will not be considered.

Core Responsibilities Client Intake- Serve as the firm’s first impression and trusted concierge for prospective clients
- Own and drive a monthly consultation booking goal, measured by qualified consults scheduled and completed
- Conduct structured screening calls and gather detailed, accurate case information
- Actively convert inbound leads into booked consultations through proactive outreach, follow-up, and relationship building
- Re-engage prospective clients who express interest but do not initially book, ensuring no viable lead is left behind
- Guide prospective clients through the intake process with empathy, clarity, and professionalism
- Prepare and coordinate representation agreements
- Manage incoming and outgoing mail in the Austin office
- Coordinate shipment of client materials and firm swag
- Maintain an organized, polished, and professional office environment
- Must be located in Austin, Texas and available to work full-time in office
- At least 2 years of experience in customer service, sales, or another client facing role
- Demonstrated excellence in organization, follow-through, communication, and attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple workflows and deadlines simultaneously
Proficiency with Microsoft 365 (Outlook, Word, One Note) - Ability to learn and manage law firm software systems
