Our client is seeking a highly organized, proactive, and versatile Project Manager / Executive Assistant to serve as a critical operational partner to company leadership. This role bridges strategic project execution and executive-level administrative support, making it ideal for a professional who thrives in a fast-paced environment, excels at managing competing priorities, and brings both organizational rigor and sound business judgment to everything they do.
Key Responsibilities Executive Support- Manage complex calendars, scheduling, and travel arrangements for the CEO/COO and senior leadership team.
- Prepare, proofread, and distribute executive communications, presentations, reports, and briefing materials.
- Serve as a primary point of contact and liaison between executives and internal/external stakeholders.
- Track action items from leadership meetings and follow up to ensure timely completion.
- Handle confidential information with the highest degree of discretion and professionalism.
- Lead and coordinate cross‑functional projects from initiation through delivery, ensuring milestones, timelines, and budgets are met.
- Develop and maintain project plans, status reports, risk registers, and dashboards for leadership visibility.
- Facilitate project meetings, capture decisions and action items, and drive accountability across teams.
- Identify risks and blockers early and proactively propose solutions to keep projects on track.
- Implement and improve project management processes, tools, and templates across the organization.
- Support day‑to‑day operational workflows and help identify opportunities for process improvement and efficiency gains.
- Coordinate vendor and partner relationships, including contracts, invoices, and onboarding logistics.
- Assist with budget tracking, expense reporting, and resource allocation in collaboration with Finance.
- Manage internal knowledge bases, shared drives, and documentation to ensure information is organized and accessible.
- Own logistics for company‑wide meetings, offsites, events, and special initiatives.
- 3–6+ years of experience in a project management, executive assistant, chief of staff, or operations coordinator role.
- Demonstrated ability to manage multiple high‑priority projects simultaneously with strong attention to detail.
- Exceptional written and verbal communication skills; able to represent leadership professionally at all times.
- Proficiency with project management tools (e.g., Asana, , Notion, Click Up, or similar).
- Advanced skills in Google Workspace and/or Microsoft 365 (Docs, Sheets, Slides, Outlook, Teams).
- High emotional intelligence and the ability to build trust across all levels of an organization.
- Proven ability to work independently, exercise sound judgment, and maintain confidentiality.
- PMP, CAPM, or equivalent project management certification.
- Experience in a technology, AIm consulting, or professional services environment.
- Familiarity with CRM platforms, financial tools (e.g., Quick Books, Expensify), and/or BI dashboards.
- Prior experience supporting C‑suite executives in a scale‑up or growth‑stage company.
