As a Procurement Coordinator at LV Collective, you bring design visions to life through sharp administrative expertise, seamless order placement, installation coordination, and crystal-clear communication. You'll be an integral support partner to the Procurement Manager and Design Team, ensuring projects move forward smoothly, accurately, and with the high level of quality that sets LV Collective apart.

This role is highly operational and coordination-focused, working hand-in-hand with our creative design team to make big ideas happen.

Job Responsibilities
  • Procurement & Vendor Coordination
  • Assist in sourcing vendors, products, and services aligned with project requirements and design standards
  • Communicate with vendors and trade representatives regarding quotes, lead times, order status, and issue resolution
  • Assist in maintaining preferred vendor lists and evaluating vendor performance
  • Support negotiation efforts by compiling pricing comparisons and historical cost data
  • Purchasing & Order Management
  • Prepare and process purchase orders, contracts, and change orders in accordance with company procedures
  • Track orders from placement through delivery, ensuring timelines, quantities, and specifications are met
  • Flag potential procurement risks (lead times, budget overruns, availability issues) and propose solutions
  • Logistics, Warehousing & Installation
  • Coordinate with receiving warehouses to confirm timelines, resolve freight issues, and address damaged items
  • Coordinate with project managers, construction teams, and site staff to align deliveries with project timelines
  • Assist with scheduling, warehouse coordination, and logistics associated with FF&E installs
  • Attend and assist with execution of planned installs
  • Systems, Documentation & Process Improvement
  • Maintain accurate procurement documentation, vendor information, and payment records within company procurement software
  • Assist with invoice review, payment records, and coordination with Accounting
  • Follow and help refine procurement workflows, templates, and best practices
  • Support the use of procurement software and internal systems
  • Contribute to continuous improvement initiatives to increase efficiency and cost savings

  • Assist with other duties and special projects as assigned
  • Ability to work late or on weekends may be required
Requirements Education & Experience
  • 2-4 years of proven experience in procurement, purchasing, and FF&E project coordination
  • Design industry experience or related field highly preferred
  • Experience working with procurement software and Microsoft Office

Additional Requirements
  • Currently live in the Austin, TX area or willing to relocate
  • Ability to work in-office full time
  • Ability to travel to project sites as needed
