Special Project Coordinator I

Ideal for candidates developing foundational experience in project management and PMO operations. Responsibilities focus on supporting documentation management, maintaining project records, assisting with governance, and training activities, and ensuring data accuracy across project management tools under general supervision.

Special Projects Coordinator II

Suited for experienced professionals who independently support project management operations and governance activities. This level includes advanced coordination of project records, compliance support, training delivery, cross-team collaboration, and continuous improvement of PMO processes tools.

Essential Duties Special Projects Coordinator I
  • Assists in performing project management work in the planning, developing, & managing of templates and processes.
  • Assists in the support of development, interpretation of policies and procedures for creating project processes.
  • Conducts analyses and recommends solutions/methods to increase productivity/efficiency.
  • Assist with managing and analyzing policies to ensure established state requirements are met and support closing activities of projects.
  • Assists in evaluating data and communicating findings to various groups in and out of the PMO.
  • Assists in developing training materials and supports delivery of new or updated project management processes.
  • Prepares and presents information to various groups including IT leadership.
  • Serves as point of contact and/or liaison for operations and facilitate operation section meetings and manage record retention for the project management office.
  • Performs other job responsibilities as assigned, including serving as backup support for PMO operations tasks as needed to support overall team effectiveness.
Special Projects Coordinator II
  • Evaluates, develops, interprets, and updates policies/procedures and manages the community of practices.
  • Oversees and leads the annual reviews of community of practices.
  • Researches and manages governance activities.
  • Conducts program or project analyses and develops and recommends solutions/methods to increase productivity/efficiency and streamline operations.
  • Conducts and manages record retention for the project management office.
  • Analyzes and identifies strategies to make improvements and facilitates collaboration among diverse groups to resolve issues.
  • Evaluates statistical data and interprets results; prepares reports on project activities and performs financial reviews of projects.
  • Contributes to continuous improvement efforts by identifying gaps, recommending enhancements, and aligning practices with industry and regulatory standards.
  • Leads training and facilitates meetings as needed.
  • Prepares administrative reports.
  • Serves as point of contact and liaison for special projects or operation initiatives with cross functional teams.
  • Performs other job responsibilities as assigned.
Minimum Qualifications:

Special Project Coordinator I Education

Bachelor's Degree in business administration, public administration, or a related discipline. Relevant experience may be substituted for education on a year per year basis.

Experience

3 years of experience in business analysis, project or program administration, or related experience. (Experience can be satisfied by full time or prorated part time equivalent). Related graduate level education may be substituted for experience on a year per year basis.

Licenses and Certifications

Valid driver’s license. This position requires driving a state vehicle.
