Scope of Position

The Sales & Events Jr. Associate is a pivotal entry-level role on our commercial team, providing both high-value operational support and a launchpad for long-term growth in sales and events. This team member will have a hand in every stage of the sales pipeline-from lead distribution and solicitation to administrative coordination and reporting-while gaining exposure to the full sales cycle and interdepartmental collaboration that drive group business at Austin Proper.

This role is designed as a training ground for future advancement, offering mentorship, cross-functional experience, and visibility across the hotel's sales and events ecosystem. Ideal for a sharp, service-oriented hospitality professional eager to grow into a Sales or Event Manager role, the Jr. Associate will learn from some of the best in the business while directly contributing to the team's success.

Primary Responsibilities

Lead Management & Distribution

* Monitor and manage all incoming leads across multiple channels, including shared sales inbox, Cvent, phone inquiries, and CRM.

* Research group and organization history using internal tools and AI-enhanced platforms before assignment.

* Distribute leads to the appropriate Sales Manager based on vertical, deployment calendar, and business priorities.

* Serve as the first point of touch for inbound inquiries, ensuring a polished, Proper-branded guest experience from the start.

Team Solicitation Support

* Execute team solicitation initiatives as directed by the Director of Sales and Director of Events.

* Utilize systems including Delphi, Knowland, and Zoom Info to identify and distribute qualified leads to the team.

* Log and track solicitation activities accurately in Delphi to maintain pipeline visibility and strategy alignment.

Group Commission Tracking

* Cross-reference pick-up reports, contract terms, and billing data to verify commission eligibility and accuracy.

* Coordinate with accounting to facilitate invoice processing and timely payouts to third-party agencies.

* Maintain an up-to-date tracker of group commissions and follow up as needed for resolution or clarification.

Sales & Events Reporting

* Prepare and distribute the Daily Events Report used by the Front Office and other teams to stay informed on upcoming events.

* Apply weekday color coding, event clarity formatting, and proper naming standards.

* Own the Outlet Booking Report, ensuring industry classification accuracy and proper distribution to Sales, Events, Marketing, and Leadership teams.

* Support ad hoc reporting needs related to sales deployment, market segmentation, or event pacing.

Administrative & Operational Support

* Assist with office supply ordering and inventory of branded materials, menu stock, and event collateral via UKG and internal PO systems.

* Submit and track reimbursement requests, vendor POs, and internal forms as needed by the Sales and Events teams.

* Maintain organized records and tools to support operational efficiency and team communication.

Qualifications & Requirements

* 1-2 years of experience in hospitality, administrative support, or a customer service-oriented environment; hotel or event sales experience preferred.

* A strong interest in hospitality sales, events, and guest service, with a desire to grow into a client-facing role.

* Familiarity with sales systems and hotel software is a plus.

Experience with any of the following tools is highly beneficial:

* Delphi (FDC or classic)

* Knowland

* Zoom Info

* UKG (or similar PO/reimbursement systems)

* ChatGPT / AI-assisted research tools

* Strong organizational and time management skills with a proactive, detail-oriented approach.

* Excellent written and verbal communication abilities; able to convey a professional and friendly tone in person and via email.

* Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

* Ability to multi-task across competing priorities while staying calm and composed in a fast-paced team setting.

* Positive attitude, collaborative mindset, and alignment with Proper's creative, refined, and service-first culture.

* Bachelor's degree in Hospitality, Business, Communications or related field preferred, but not required.
