Purpose

The Administrative Associate position provides a variety of clerical, marketing, administrative, operational and customer service support to students, faculty, staff, alumni, and official visitors. The position plays a role in ensuring a well-maintained physical environment, responsive customer service, and general front office duties.

Responsibilities
  • Collaborate with staff to maintain UTeach and Rapoport program websites, listservs, and social media accounts by creating graphics, taking photographs, and writing, editing, and proofreading all digital content.
  • Manage and coordinate faculty, student, and financial Docu Sign documents; maintain student folders and other paper and electronic documents.
  • Process purchase orders, accounts payable vouchers, and entertainment approval forms (OOEFs).
  • Support student awards by maintaining and processing scholarship applications and award payments.
  • Provide customer support to students, faculty, staff, alumni, and official visitors, while accurately communicating UTeach-Liberal Arts program information.
  • Support planning and execution of UTeach and Rapoport meetings and special events—including annual dinner, freshman orientation, information sessions, and other program activities.
  • Assist with student placements and communicate with public school personnel.
  • Help organize and maintain office space, monitor and purchase supplies, and provide general administrative support.
  • Other related functions as assigned.
Required Qualifications
  • High school diploma or GED and at least five years of administrative experience, including at least one year at the Administrative Assistant or Administrative Associate level.
  • Demonstrated excellence in organization, accuracy, and attention to detail.
  • Experience providing high-quality customer service in a professional setting.
  • Professional demeanor and strong interpersonal communication skills.
  • Ability and willingness to work collaboratively as part of a team.
  • Proficiency with Microsoft 365 applications and experience working with databases.
  • Experience managing or contributing to social media accounts for an organization, program, or office.
  • Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
  • Bachelor's degree and at least three years of administrative experience, including at least one year at the Administrative Assistant or Administrative Associate level within the College of Liberal Arts.
  • Strong knowledge of UT Austin's organizational structure, policies, procedures, and administrative systems.
  • Experience working with faculty, Dean's Offices, and other university departments.
  • Experience with strategic social media management, including content planning, branding, or analytics.
