Job Overview

We are looking for a Receptionist and Operations Support Specialist who is interested in being part of one of the fastest growing wealth management and tax service firms in the nation. Ideal candidate is a polished, organized, and operationally minded professional who is comfortable serving as the front‑facing representative of our wealth management and tax service firm. This role combines receptionist responsibilities with structured operational support and hands‑on social media management.

This is an on‑site, in‑office position; our target start date for this position is mid March 2026.

Core Responsibilities Front Office and Client Experience
  • Serve as the primary point of contact for clients, vendors, and visitors
  • Answer and route incoming calls professionally and efficiently
  • Manage scheduling, calendar coordination, and meeting confirmations
  • Coordinate client document drop‑offs, scanning, secure digital filing, and pickup notifications
  • Maintain a clean, organized, and professional reception and conference environment
  • Assist with client hospitality during in‑office meetings
Operational and Administrative Support
  • Support day‑to‑day office coordination across locations
  • Assist with vendor communication, service requests, and invoice tracking
  • Maintain supply inventory and coordinate reordering
  • Update CRM records and workflow status as directed
  • Provide support to leadership with tracking sheets, follow‑ups, and task coordination
Social Media and Creative Content
  • Create branded graphics and content using Canva, Adobe Express or similar software platforms
  • Draft, schedule, and publish social media posts across firm channels
  • Maintain a consistent posting cadence aligned with marketing guidance
  • Coordinate simple photo and video content from internal events or team highlights
  • Support promotional content for client events, marketing campaigns, and firm milestones
Qualifications
  • Ability to align and support core responsibilities listed above.
  • 2–5 years of relevant experience in reception, office administration, or office operations.
  • Professional communication skills; strong verbal and written skills required.
  • Strong proficiency with Microsoft Office Suite (Excel, Outlook, Word, PowerPoint)
  • Experience with CRM platforms such as Client Works, Salesforce, etc.
  • High attention to detail in organizational, time‑management skills.
  • Experience creating and managing social media platforms, content creation, and associate software interfaces.
  • Proven ability to work independently and manage priorities in a deadline‑driven environment.
  • Experience with secure document handling, digital filing systems, and maintaining data privacy in compliance with industry standards.
Preferred Skills
  • Prior experience in Wealth management or financial advisory firm.
  • Practical experience using CRMs and workflow/project management tools such as Salesforce, Asana, or similar platforms.
