The Role

Reports to: CFO

This role is designed for someone early in their career who enjoys being in a team, is naturally organized, and wants to learn about the many different areas of a business. You’ll learn by doing and gain exposure to office operations, executive support, events, vendors, and internal processes, while building the skills needed to grow into a future Workplace Experience Manager role.

This is an entry-level role for someone looking to build a long-term career in office management, operations, or workplace experience.

Responsibilities Office & Workplace Support
  • Assist with daily office operations, including opening and closing the office Monday through Friday, and occasional support for special events
  • Help maintain a positive, welcoming, and upbeat office atmosphere
  • Support upkeep of office supplies, equipment, shared spaces, snacks, and drinks
  • Help ensure the office is clean, functional, and guest-ready at all times
Events & Culture
  • Assist with planning and execution of office events, team meetings, and company gatherings
  • Support internal coordination for meetings and special projects
  • Assist with internal social media content, including planning, writing, and posting as needed
  • Help create a workplace environment where people enjoy coming into the office
Administrative & Operational Support
  • Assist with reviewing and organizing documents, contracts, and internal materials
  • Support basic process tracking and help identify areas that could be more efficient
  • Assist with vendor coordination, budget tracking, and accounts payable tasks
  • Support invoicing, bookkeeping, and accounts receivable processes as needed
  • Assist with travel planning and coordination
People & Business Support
  • Assist with recruiting coordination, new hire onboarding, and ongoing training logistics
  • Provide general support to all departments with assigned tasks as needed
  • Assist C-level executives with administrative and operational duties, as assigned
Required Experience & Skills
  • Up to 2 years of experience in a professional setting
  • Ideally some experience in an administrative, office support, operations, or workplace role
  • Exposure to industries such as marketing, communications, events, hospitality, media, or other fast-paced, service-oriented environments is a plus
  • Strong organizational skills and attention to detail
  • Friendly, positive, and service-oriented attitude
  • Comfortable juggling multiple tasks and supporting different teams
  • Strong written and verbal communication skills
  • Comfortable with Slack, Zoom, Google Suite, and ideally Hub Spot or similar CRM tools
  • Physically capable of handling and moving office supplies and materials as needed, up to 25 lbs
  • Valid driver’s license and reliable access to a personal vehicle for work-related errands, with mileage reimbursed in accordance with company policy

  • Authorized to work in the United States on a full-time basis without current or future sponsorship
