We are working with a client to hire an Executive Assistant. This role requires sound judgment, adhering to strict confidentiality, and meticulous attention to detail in a fast‑paced executive setting.
Salary is $68k-$75k base plus bonus and the role is onsite with a 40‑hour week.
Responsibilities- Provide administrative support to the Corporate Secretary, CEO, and General Counsel including calendar management, meeting coordination, expense reports, check requests, travel arrangements, and general administrative duties.
- Assist with board, committee, and executive matters including scheduling, preparation of agendas, meeting minutes, reports, and meeting packets, distribution of materials, on‑site event support, and follow‑up on action items.
- Manage competing priorities in the support of multiple executives while maintaining professionalism and accuracy.
- Prepare, proofread, edit, and maintain corporate records, policies, resolutions, and governance documentation in accordance with legal and regulatory requirements, applying meticulous attention to detail, analysis, and execution.
- Proactively evaluate projects and tasks in a holistic manner, keeping second‑ and third‑order effects in mind to anticipate downstream consequences and broader implications.
- Support special projects, meetings, and events, strategic initiatives, and ad hoc requests.
- Improve administrative processes and workflows to enhance efficiency and maintain or create SOPs.
- Maintain documents and data in local and online systems including Laserfiche and Salesforce.
- Administrative support for General Counsel may include:
- Communications with outside counsel, the Board of Directors, and executives and staff on the publication of the annual offering circular, state agent registrations, and operations matters.
- Agent state bond renewals and management.
- Filing Texas Secretary of State annual reports and other filings, as needed.

- Minimum five years of experience as an Executive Assistant or similar role supporting senior staff and similar job duties.
- Experience supporting C‑suite leaders, Board of Directors, interdepartmental activities, and governance functions.
- Proven ability to write, review, validate, and finalize work products to ensure completeness, consistency, and accuracy at an executive level.
- Exceptional organizational, time‑management, and prioritization skills.
- Proficiency in Microsoft Office, Windows OS, and general technology.
- Extraordinary attention to detail and commitment to accuracy.
- Demonstrated track record of learning and advancing in dynamic environments, taking initiative, embracing challenges, and contributing effectively and in a positive manner both independently and within collaborative teams.
