We are seeking a highly polished and detail-oriented Administrative Assistant to support three senior leaders within a business services environment. This role is ideal for a professional who thrives in a fast-paced, high-expectation setting and can manage complex scheduling, communication, and administrative coordination with discretion and efficiency.
This position reports directly to the HR Director and plays a critical role in ensuring operational flow, leadership readiness, and administrative excellence across the organization.
Key Responsibilities- Manage complex, high-volume calendars for senior leaders, prioritizing competing demands in a dynamic environment
- Prepare meeting agendas, capture detailed notes, and distribute follow-up documentation
- Draft professional internal and external communications on behalf of leadership, adapting tone and voice appropriately
- Reconcile corporate credit card statements, review for accuracy, and ensure timely policy-compliant submission
- Coordinate small internal events, offsite meetings, and internal gatherings (logistics, vendor coordination, contracts, supply ordering)
- Conduct initial review of small vendor agreements for completeness and alignment
- Proactively identify scheduling conflicts and ensure leaders are fully prepared for meetings
- Create well-designed documents, presentations, and event materials with strong formatting and visual detail
- Assist with internal recruitment coordination including complex interview scheduling and candidate documentation
- Run local errands and support administrative logistics as needed
- Maintain strict confidentiality across all leadership, financial, and operational matters
- 3–5 years of true Administrative Assistant experience
- Heavy calendar management experience supporting senior leaders
- High school diploma required;
Associate’s or Bachelor’s degree preferred - Exceptional organization, prioritization, and time management skills
- Strong written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Professional, discreet, and highly dependable
- Valid driver’s license with good driving record
