The Mic Drop Agency is looking for a highly organized, part-time Office Manager to help keep our growing agency running smoothly behind the scenes. This role is ideal for someone who loves operations, systems, and making sure nothing falls through the cracks.
This role is ideally based in Austin, Texas, as we grow our U.S. presence and attend local events. You’ll support both our Canadian and U.S. entities and work closely with leadership to manage finances, vendors, logistics, internal programs, and operational systems.
This is a 20 hours/week, part-time role with flexible scheduling.
Compensation: $30–$35/hour, based on experience.
This role is intentionally designed to start at 20 hours per week with a clear path to expanded responsibility and scope.
As Mic Drop Agency continues to grow, this position has the potential to evolve into a full-time Operations / Office Manager role, owning:
- Broader people operations and internal programs
- Deeper financial and operational oversight
- Expanded business development and partnerships support
- Leadership of interns or junior operations support
We’re looking for someone who wants to grow with the agency, help build systems that scale, and become a long-term operational partner, not just fill a temporary role.
KEY RESPONSIBILITIESCommunications & Inbox Management
- Manage all inbound emails and phone calls on Mic Drop’s main contact number
- Route inquiries to the appropriate team member
- Respond to general inquiries using templates and brand guidelines
Travel & Logistics
- Book and coordinate team travel (flights, hotels, transportation) for conferences, events, and offsites
- Manage calendars and logistics for leadership travel
- Support planning and execution of the annual team retreat (venue research, scheduling, budgeting, coordination)
Financial & Administrative Operations
- Manage light bookkeeping for both Canadian and U.S. companies (expense tracking, categorization, support for accountants)
- Track, organize, and process vendor invoices; ensure timely payments and accurate records
- Assist with monthly and quarterly financial organization and reporting
Vendors, Tools & Operations Management
- Own and manage Mic Drop’s software stack (subscriptions, access, renewals, permissions)
- Act as the main point of contact for operational vendors (software tools, contractors, services)
- Maintain a master vendor list, contract terms, and renewal dates
- Track usage and flag opportunities to streamline, consolidate, or reduce costs
- Recommend operational improvements and systems as the agency scales
Team Culture & People Operations
- Support Mic Drop's hiring process by coordinating interviews, managing candidate communications, and helping streamline recruitment logistics
- Plan and coordinate new hire orientations for Mic Drop team members
- Support onboarding logistics (accounts, welcome materials, internal introductions)
- Manage and organize the Mic Drop internship program (onboarding, scheduling, coordination)
- Coordinate and send employee and client gifts for birthdays, anniversaries, milestones, launches, and wins
- Book and coordinate monthly guest speakers for The Mic Drop Agency team
- Build and maintain an annual internal events, learning, and culture calendar
Business Development & Visibility Support
- Build and maintain lists of relevant events, conferences, and speaking opportunities (PR, marketing, construction tech, SaaS, etc.)
- Research organizers, media contacts, and decision-makers
- Support outbound pitches for speaking, panels, podcasts, and event participation
- Maintain a simple CRM or tracking system for outreach and follow-ups
- Based in or near Austin, Texas (preferred)
- Bachelor’s degree in business administration, management, operations, or a related field.
- 3–5+ years experience in office management, operations, or administrative support (agency or startup experience is a plus)
- Proficiency with Google Workspace, Quick Books, Fresh Books, & Notion is a plus
- Strong organizational and time-management skills
- Comfortable with numbers, invoices, and financial tracking (formal accounting designation not required)
- Systems-minded with an interest in optimizing tools and workflows
