Our Client is seeking a highly organized, proactive, and resourceful Executive Assistant to provide direct support to our Founder & CEO. This role is central to ensuring the CEO’s time, focus, and priorities are optimized to drive company growth. The Executive Assistant will serve as a trusted partner, managing critical administrative functions, and streamlining operations.

This position requires exceptional judgment, attention to detail, and the ability to thrive in a fast-paced, entrepreneurial environment.

This position is based in the Domain area.

Key Responsibilities Executive Support
  • Manage the CEO’s calendar with precision, ensuring optimal time management, prioritization, and preparedness for all meetings.
  • Coordinate complex domestic travel arrangements, itineraries, and logistics.
  • Draft, review, and manage correspondence, presentations, and reports on behalf of the CEO.
  • Anticipate needs and proactively address issues before they arise.
Operations & Communication
  • Act as gatekeeper and primary point of contact between the CEO and stakeholders (board members, investors, clients, and team members).
  • Support preparation and follow-up for executive, board, and investor meetings.
  • Maintain confidentiality of sensitive information and exercise discretion in all matters.
  • Help streamline workflows, internal communication, and executive-level initiatives.
Project & Strategic Support
  • Assist with special projects, including research, data gathering, and presentation development.
  • Coordinate cross-functional initiatives and ensure deadlines are met.
  • Partner with the CEO to track priorities, goals, and follow-ups across the organization.
Qualifications
  • 5+ years of experience as an Executive Assistant, Chief of Staff, or similar role supporting a Founder/CEO or senior executive.
  • Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong communication skills (written and verbal) with executive presence and professionalism.
  • High level of discretion, integrity, and emotional intelligence.
  • Proficiency with productivity tools (Google Workspace, Microsoft Office, Slack, Zoom, project management software).
  • Adaptable, proactive, and solution-oriented with a “no task too big or small” mindset.
