We invite you to apply to the Senior Specialist – Client Services (Senior Executive Legal Assistant) position in our Austin, TX office. The role is onsite at least three days per week and is responsible for providing executive administrative support to high‑revenue attorneys, ensuring seamless daily operations and enabling attorneys to focus on client service and business development.

Primary Responsibilities
  • Coordinate all workflow for assigned attorneys, delegating specific tasks to other teams, including follow‑up and quality control.
  • Coordinate client communications, manage sensitive information, and serve as liaison between attorneys, clients, and internal departments.
  • Proactively anticipate attorneys’ needs, manage priorities, and resolve administrative challenges with minimal supervision.
  • Support business development initiatives, including coordinating events, preparing pitch materials, and maintaining client databases.
  • Calendar and schedule management: assist in coordinating attorneys’ calendars and meeting arrangements, make travel arrangements and prepare itineraries.
  • Project management: coordinate and track ongoing projects, ensuring deadlines and deliverables are met; monitor milestones, update status reports, and communicate progress to attorneys and stakeholders; assist with preparation of project plans, timelines, and resource allocation.
  • E‑mail management: proactively manage attorneys’ inboxes, prioritizing and flagging urgent communications; draft, review, and respond to emails on behalf of attorneys as directed; organize and archive email correspondence for easy retrieval.
  • Document management: prepare, edit, format, and proofread legal documents, correspondence, and presentations with high accuracy; manage version control, file organization, and secure storage in compliance with firm policies; facilitate execution, filing, and distribution of legal documents.
  • Process new client/matter intake: prepare and process new matter forms, request conflict checks, and open new files.
  • Coordinate accounting administrative functions: coordinate client billing matters, prepare billing letters and other financial updates; assist attorneys with tracking and monitoring alternative fee arrangements; assist attorneys with automation, tracking and monitoring matter budgets.
  • Work collaboratively in a team: demonstrate effective teamwork and communication with team members and all firm personnel; actively participate in regular team meetings to discuss current projects and workflow; exchange information and training tips with team members for maximum job effectiveness.
  • Use workflow management software to log and manage workflow.
  • Handle special projects and other duties as assigned to support the efficiency and success of the attorneys’ practices.
Secondary Responsibilities (as capacity allows)
  • Prepare documents: type, transcribe, revise, and proofread legal documents accurately, prioritizing assignments, and meeting specific deadlines on projects.
  • Process mail: review and route incoming mail and fax communications; prepare and process outgoing mail and faxes, arranging specialized services as required; ensure all attachments, exhibits, and enclosures are included; coordinate activities with the Office Administration Services or Administrative Resource Team as needed.
  • Provide general administrative support: maintain attorney contacts, track CLE and membership requirements.
