The Course Scheduler is responsible for managing the department's academic scheduling operations, ensuring compliance with university policies and state mandates. This role coordinates course offerings, final exams, and curriculum updates while supporting faculty and liaising with administrative units. Additional duties include overseeing publicity and event coordination, maintaining academic records, and supporting undergraduate program development. The position also contributes to website management and student engagement through surveys and departmental outreach.
Strong organizational, communication, and technical skills are essential.
- COURSE SCHEDULER:
Solicit course preferences through web‑based surveys (Qualtrics), submit Course Schedule Update (CSU) forms, ensure syllabi are posted to comply with HB2504, manage core curriculum, coordinate course instructor surveys, schedule final exams, maintain academic forms. Administer Qualtrics surveys to graduating students for program improvement and the Trac Dat report. - OFFICE ADMINISTRATION:
Administer the department website, supervise GIS equipment checkout, and complete office, break room and lab equipment inventory. - PUBLICITY/EVENT COORDINATION:
Generate original content for research spotlights and news items, update the annual PR calendar, develop relationships with University Public Affairs and UT publications to promote department events and activities, design posters (InDesign, Adobe Illustrator, Photoshop). Support undergraduate GRG Society and Graduate Association of Geography and the Environment student groups with events and publicity. Coordinate the regular colloquium series. - UNDERGRADUATE COORDINATOR:
Collaborate with the Undergraduate Curriculum Committee and for all GRG/SUS curriculum and inventory/catalog updates. Serve as liaison with advisors, staff, and faculty in other academic units to set up GRG/SUS cross‑listings, collaborate with EVS and SUS Studies directors, and advise on student internship opportunities and promotion of the major. Review and submit individual instruction grades to the Office of the Registrar and assist faculty with grade changes.

- Bachelor's Degree
- At least 3 years of clerical experience with a minimum of 1 year at the Administrative Assistant or Administrative Associate level.
- Relevant education and experience may be substituted as appropriate.
- Four or more years of experience at the Administrative Assistant level.
- Experience working in a university setting.
- Ability to work independently.
- Proficiency with Microsoft Office.
- Ability to multi‑task and analyze processes and policies.
- Attention to detail and persistence in following through with tasks.
- Ability to work collaboratively with faculty and staff to complete objectives.
- Efficient and reliable when working with minimal supervision.
- Demonstrated excellent interpersonal communication skills, both oral and written, and professional demeanor.
