The Office Manager position is primarily responsible for managing the office of the Austin branch and performing several administrative tasks related to branch management and operations, such as reporting, route reconciliations, invoicing, and financials. The role also supervises employees and serves as the branch HR liaison.
Responsibilities- Ensure financial controls are established and adhered to
- Manage route reconciliation process to ensure accurate and complete accounting for all deliveries
- Audit product returns against adjustments on customer invoices to ensure accuracy of product and payment upon return
- Review any adjustments made to invoices (pricing errors, returned product, etc.) and ensure documentation is legible and accurate
- Review route driver paperwork to ensure proper payment handling procedures consistent with Ben
E. Keith guidelines - Manage accounts receivable process to ensure timely and effective posting of all remittances
- Manage accounts payable process to ensure timely and accurate payment of all vendor invoicing
- Manage payroll process to ensure timely and accurate processing of payroll
- Assist with research projects
- Ensure that the BEK administrative requirements are performed accurately and in a timely manner
- Maintain office records
- Perform routine data entry
- Answer incoming calls
- Perform basic bookkeeping activities
- Monitor and follow up on any issues needing corrective action
- Consistently demonstrate and model good management and self‑management practices in support of Ben
E. Keith culture
- Working knowledge of route accounting software preferred
- Oracle People Soft experience a plus
- Ability to learn and use relevant internal computer applications
- Proficiency in Microsoft Office (Word, Excel, Power Point) preferred
- Ability to use 10‑key by touch preferred
- Extensive computer skills required
- Must have the ability to lead others and obtain desired results through motivation, communication, and leading by example
- Ability to perform basic mathematical calculations
- Ability to work in a fast paced environment
- Able to coordinate multiple activities and follow through with commitments
- Good oral and written communication skills and participate well in a team environment
- Must be highly motivated and results oriented, with a strong attention to detail
- Must be organized with the ability to handle multiple priorities
- Must be able to read and write English
- Must be 18 yrs. or older to apply
- Bachelor's degree or its equivalent preferred but not required
