We are seeking a highly motivated Patient Scheduler to join our Cardiothoracic Surgery team.

This job can be performed 100% remotely. Preference may be given to applicants residing in Colorado, but out of state candidates will be considered.

The Patient Scheduler will under minimal supervision, perform a broad range of clinical scheduling duties across multiple Denver metro clinic locations including answering phones, appropriately directing calls, registering new patients, creating referrals, scheduling clinic appointments, requesting medical records, uploading medical records, and managing provider clinic templates. The individual in this position will schedule patient appointments over the phone, provide assistance with various insurance related activities such as referral and coverage verification, manage data entry of demographic information, review work queues, manage EPIC in-basket messaging pools, and other miscellaneous duties as assigned.

The Patient Scheduler will:

  • Maintain the front office functions, including managing inbound telephone calls, assisting callers &/or taking messages when necessary.
  • Manage referral work queues, EPIC inbasket messages, online patient scheduling requests, and provider clinic templates. Callers may include other medical centers, physicians, insurance companies, home health agencies, or patients and must be handled professionally and with confidentiality.
  • Schedule patient appointments in EPIC.
  • Verify and update patient demographic and primary care provider information in EPIC.
  • Coordinate and obtain referrals and referral authorizations for clinic appointments.
  • Retrieve medical records and other medical information.
  • Review appropriate reports and work queues for scheduling accuracy.
  • Manage incoming faxes and route appropriately.
  • Follow HIPAA guidelines at all times while handling sensitive situations involving patients and constituents to ensure confidentiality.
  • Attend meetings to facilitate communication of key information regarding patient scheduling or other activities related to the accomplishment of the Division’s clinical activities
  • Provide cross-coverage as required for other patient scheduling roles.
  • Perform other duties and contribute towards any ongoing staff projects as assigned.

Requires a high school diploma or equivalent with a minimum of 2 years’ experience in a health-care setting including exposure to complex patient scheduling in an electronic medical record system; bachelor’s degree &/or EPIC experience is highly preferred. Must demonstrate expertise with various computer programs including all MS Office Suite applications. High level verbal and written communication in conjunction with professional telephone etiquette is essential.

Must have superior editing and writing abilities suitable for academic standards. Exceptional customer service skills with the ability to maintain a positive attitude at all times and work with diversified customer clientele is required. Must be flexible and capable of handling multiple and shifting priorities. The ability to handle sensitive information in a confidential manner is required. Must demonstrate the ability to act independently, have excellent interpersonal skills, and be able to maintain positive working relationships.

Broad knowledge of medical practice front office operations and medical terminology is required. Familiarity with insurance plans, ICD-10/CPT coding and the prior authorization requirements for procedures and tests is a plus.
