Job SummaryKey Responsibilities
- Process and manage accounts payable functions, including invoice verification, payment scheduling, data entry, and timely disbursement of funds.
- Maintain accurate financial records and reconciliations by partnering with the Finance Team to reconcile ledgers, aging reports, cash handling, petty cash, and gift card allocations.
- Administer financial programs and controls such as cash handling, petty cash oversight, gift card management, and compliance with university and state fiscal guidelines.
- Oversee contract lifecycle activities by maintaining a centralized contract repository and coordinating reviews with the Office of Grants and Contracts.
- Support employee financial closeout processes by ensuring timely reconciliation of travel and procurement card expenses and coordinating card cancellations.
- Provide front-office support for the Dean's Office by serving as the initial point of contact for visitors and callers and directing inquiries appropriately.
- Collaborate on fiscal year-end activities and other administrative tasks as assigned to support overall financial operations.

Minimum Qualifications
Intermediate Level- Bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
- A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor's degree on a year for year basis.
- One (1) year of business operations experience.
- Bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
- A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor's degree on a year for year basis.
- Two (2) years of business operations experience.
- Financial and budgetary experience.
- Experience providing administrative support.
- Financial, accounting, and/or general business experience in higher education.
- Experience with University of Colorado systems (HCM, Marketplace, Concur), reporting, finance, procurement, invoicing, and expense reconciliation.
- Demonstrates strong initiative by proactively identifying opportunities, taking ownership of tasks, and driving projects forward with minimal supervision.
- Ability to work independently as well as collaboratively. Exercise sound judgment, identify and set priorities for self and others, and meet deadlines in a fast-paced work environment.
- Significant knowledge and strong proficiency with Microsoft Excel, Word, Access, PowerPoint, and Outlook.
- Outstanding customer service skills.
- Ability to function independently in a responsible and timely manner.
- Strong attention to detail, balanced with ability to maintain a broad perspective.
- A thorough understanding of administrative, budgetary, and fiscal principles and practices applicable to the University of Colorado Skaggs School of Pharmacy and Pharmaceutical Sciences.
- Ability to analyze and evaluate financial and statistical information to project and oversee the school's finances.
- Ability to accept equivocal circumstances and act where answers to a problem are not readily apparent.
- Ability to influence individuals to comply with regulations, policies, and rules.
- Ability to anticipate and conceptualize fiscal issues and to develop and implement action plans.
- Ability to interact and communicate effectively with professional, administrative, and other personnel throughout the organization, both orally and in written form.
