Fellowship Program Coordinator

Job Summary: The Fellowship Program Coordinator for Child and Adolescent Psychiatry is responsible for managing all aspects of the accredited fellowship training program and its approximate 16 trainees. The position represents the training programs on behalf of the University GME office, the Dept of Psychiatry, the School of Medicine and the University of Colorado.

Key Responsibilities
  • Coordinate fellowship recruitment, including inviting applicants, creating interview schedules, arranging faculty and fellows to conduct interviews, communicating schedules, maintaining match data and using ERAS/Thalamus.
  • Provide scheduling support for CAP track interviews and general residency track interview dates.
  • Perform HR functions: rotation and conference schedules, record keeping, official correspondence, fellow examinations and evaluations, compliance with CBME, GME, ABPN, RRC and ACGME, I‑9 paperwork, etc.
  • Manage stipend allocation across funding sites and complete funding request paperwork.
  • Lead the ACGME accreditation process, internal reviews and site visits, and ensure compliance with all governing rules and audit findings.
  • Update yearly Web Ads, milestones evaluations, program manual, policies and annual reports.
  • Coordinate rotation sites, update Med Hub schedules, disseminate policy interpretations to trainees, faculty and staff.
  • Manage fellow outcome assessments and database management.
  • Assist with sensitive or confidential information regarding fellows and with proctoring annual required training exams.
  • Utilize technology extensively to support and implement fellowship program services, and support weekly didactics by setting up room technology.
  • Stay current with CUGME, ACGME requirements and national/regional trends; notify program director of changes.
  • Develop, implement and evaluate new program goals, objectives, guidelines, policies and competencies per accreditation.
  • Prepare reports for the program director, department and others such as ACGME studies, program evaluation reviews, fellow exams/assessments, retreats and audits.
  • Represent the University and Department at national and local functions, including workshops, presentations and recruitment efforts.
  • Serve as liaison to CU Graduate Medical Education Office and serve on committees as appropriate.
  • Plan events and catering needs (recruitment lunches/dinners, welcome party, retreats, grand rounds lunch, etc.).
  • Manage purchase processes and reimbursements for resident/fellow educational funds; handle department travel arrangements; lead Concur and Marketplace functions.
  • Track expenses for the child fellowship and stay within the budget.
  • Provide backup for other Psychiatry coordinators during vacation or leave.
  • Communicate with program and department leadership, GME, faculty and fellows via email, Teams or other platforms; respond promptly.
  • Create, organize and maintain files consistent with ACGME and RRC standards.
  • Provide support and backup to the Medical Student Coordinator and GME Psychiatry Residency as needed.
  • Support hybrid schedule as required;
    Tuesday required in office.
Qualifications

Minimum Qualifications: Bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited institution.

Additional Information
  • Work Location:

    Hybrid.
  • Anticipated Pay Range: $52,961 - $67,367.
