General Statement of Job Function

The Counseling Programs Administrator plays a critical role in advancing Denver Seminary’s mission and vision and will be responsible for implementing administrative systems on behalf of the MA and PhD programs in the counseling division, continually seeking to improve the efficiency, support, and development of those systems. This position will work in collaboration with the Director of Institutional Research and Educational Systems to coordinate program goals, strategies, policies, and procedures with those across the institution and use program assessment data for the fulfillment of program goals and continual program improvement.

The Administrator will oversee the work of Work Study students or Student Workers assigned to the counseling program.

Essential Functions
  • Exercise a continuous improvement mindset to evaluate and improve business processes within the MA and PhD programs in the counseling division programs and in coordination with the processes of the offices of Academic Affairs, Student Success, and the broader Seminary environment.
  • Oversee the work of any Work Study or Student Worker.
  • Manage continual data collection, consolidation, and formatting for CACREP reporting for the MA and PhD programs. Coordinate graduate assistants (GAs) and teaching assistants (TAs), within the counseling division, including, e.g., placement, support and evaluation. Coordinate with the Academic Affairs office to manage adjunct faculty and with division co‑chairs to schedule adjunct faculty evaluations.
  • Work with the Academic Affairs office to coordinate comprehensive exams and oversee additional, counseling division‑specific elements, e.g., recruiting and training comprehensive exam graders, communicating with students and their proctors.
  • Obtain and maintain CACREP required outcome data for each semester and/or annually.
  • Maintain written programmatic standards and procedures through regular editing of program manuals, SharePoint sites, and Academic Catalog updates, while ensuring compliance with institutional policies in Student Handbook, Faculty Handbook, etc.
  • Assist with special events throughout the year as needed, e.g., new student orientations, PhD residency, counseling division retreats, and other counseling events.
  • Align MA and PhD program workflows and serve as the liaison with seminary‑wide calendar.
  • Build necessary relationships with other departments across the institution in the improvement, communication, and fulfilment of program goals.
Secondary Functions
  • Serve as staff at various Seminary functions/events.
Education/Training
  • Commitment to discern and maintain strict confidentiality when necessary.
  • Advanced skills in MS Office 365 are preferred especially in Excel, Power Automate, MS Forms, and SharePoint.
  • Demonstrated project management in a supervisory role preferred.
  • 2+ years’ experience in field related to higher education administration preferred, particularly within doctoral level programs.
  • Experience with Google Workspace, especially Google Forms preferred.
  • Strong writing skills, proofreading abilities (spelling, style, and grammar) are preferred.
