Job Summary

The Longitudinal Integrated Clerkship (LIC) Coordinator oversees daily administrative tasks of LIC programs across multiple sites including UCHealth, Kaiser, Veterans Affairs, Denver Health, Children’s Hospital of Colorado, Highlands Ranch, and other Colorado Springs and Fort Collins locations. Responsibilities include managing student and faculty scheduling, coordinating classroom and meeting spaces, maintaining course materials and LMS, tracking student progress and badging, and providing clerical support to the LIC director and department liaisons.

Key Responsibilities
  • Manage complex student and faculty scheduling for clinical experiences and update schedules as conflicts and changes arise.
  • Assist LIC director(s) in planning year-long schedules for ambulatory, inpatient, on‑call, didactic, and assessment activities.
  • Coordinate didactic schedules, including speaker scheduling, programming logistics, and collection of student evaluations.
  • Coordinate regular student meetings with LIC faculty and create reports and performance summaries at four points during the year.
  • Serve as point of contact for classroom, meeting, and lecture spaces and secure space for curriculum events.
  • Use the university’s room reservation system to find and reserve meeting spaces.
  • Track student progression, requirements, assessments, and grades.
  • Manage the LIC Canvas website: update course materials, arrange quizzes, exams, and maintain learning aids.
  • Oversee edits and maintenance of LIC website curriculum content for cohesion and clarity.
  • Record and track completion of faculty evaluations utilizing online systems.
  • Participate in scheduling and proctoring of exams and ensure proctor coverage.
  • Coordinate final grading meetings with faculty and liaise with MD Data Records Manager and registrar for grade entry.
  • Act as point of contact for Volunteer Clinical faculty in badging, credentialing, and site agreements.
  • Act as point of contact for all student clinical badging processes, developing and maintaining a comprehensive understanding of badging requirements across partner sites.
  • Gain familiarity with policies and procedures for each partner’s clinical requirements.
  • Assist students in completing required paperwork and administrative documents for individual hospital systems.
  • Regularly assess badging practices with SOM Badging and the Clinical Pillar coordinator and continually improve processes.
  • Identify problems, develop solutions, and present them to the Course Director.
  • Provide clerical support to the LIC director(s) and department liaisons.
Work Location

Hybrid – 3 days per week on campus and as needed for in-person meetings.

Minimum Qualifications
  • Bachelor’s degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field.
  • Two (2) years of experience in academic program coordination, student services, or curriculum support.
Preferred Qualifications
  • Experience with in an academic medical environment.
  • Experience working with learning management systems (Canvas, OASIS, etc.).
  • Experience with curriculum management and coordination.
  • Experience developing spreadsheets and databases for reporting.
  • Experience coordinating and managing education programs, preferably in the medical field.

  • Proficiency with MS Office and ability to develop computer skills quickly.
  • Working knowledge of Microsoft SharePoint and Excel.

  • Excellent communication skills via email, conferencing software, and in person.
  • Ability to align multiple competing demands with priorities and enjoy change.
