Advancement Services Coordinator
(~20 hours/week, part-time)
The Advancement Services Coordinator is a part-time member of the Advancement Team responsible for the accurate, timely, and confidential processing of all charitable gifts. This role manages donor data integrity, gift receipting, acknowledgements, and reporting to support strong donor stewardship and ensure compliance with financial and regulatory requirements. The position works closely with Advancement and Finance staff to ensure a seamless donor experience and reliable fundraising operations.
The Advancement Services Coordinator will report to the Director of Annual Giving.
- Facilitate the receipt of all donations, including mailed, in-person, direct deposit, and online gifts
- Process and record all gifts accurately in the donor database (Donor Perfect)
- Manage gift receipting and ensure timely issuance of acknowledgement letters and year-end tax statements
- Track and process tribute gifts (memorial, honor), ensuring appropriate recognition
- Maintain the donor database with a high level of accuracy, confidentiality, and attention to detail
- Manage recurring gift schedules, matching gifts, and pledge records
- Ensure donor records are up to date and consistent across systems
- Uphold best practices related to data security, privacy, and ethical fundraising standards
- Generate regular and ad-hoc reports
- Assist with audits, reconciliations, and reporting as needed in collaboration with Finance
- Other duties as assigned
- Solid Computer and Microsoft Office skills, particularly Word and Excel
- Experience with donor databases (Donor Perfect preferred)
- Strong attention to detail and commitment to data accuracy
- Ability to manage confidential information with discretion
- Excellent organizational skills, time-management skills, and ability to work independently
- Experience in a nonprofit or advancement environment preferred
- Ability to increase hours to facilitate timely processing of charitable gifts after events/during seasonal giving
- Bachelor's degree in related field preferred
Starting at $23/hour, commensurate with skills and experience.
ScheduleFlexible days and hours; in-office presence required.
