The Secretary Associate position provides administrative support to the Executive and Deputy Director as well as the Gambling Control Unit. Successful Secretary Associates are consistently detail oriented, possess strong customer service, organization, time management, communication, teamwork and analytical skills with proficiency in the state system Advantage.

Primary responsibilities include:
  • Schedules meetings with the Executive and Deputy Director having control of both calendars.
  • Processes documentation in Advantage to include but not be limited to contracts and processing invoices.
  • Schedules, notices and take minutes of Board meetings.
  • Independently compose, review, edit and /or approve correspondence.
  • Liaise between supervisor and internal and external sources on key matters.
Skills or knowledge required:
  • Proficient in the use of Advantage.
  • Receive and greet visitors and determine customer needs.
  • Direct incoming calls, mail and email correspondence.
  • Ability to examine documents/information, determine facts, detect errors and irregularities, and make corrections as authorized.
  • Ability to create and use varied correspondence formats and compose standard business correspondence.
Minimum qualifications:

Training, education, or experience in office and administrative support work that demonstrates
1) competency in applying a solid knowledge of the principles and practices of office processes and administrative functions to perform complex secretarial support tasks, and
2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters. All positions in this classification assume the qualifications of:
Secretary.
