The Medical College of Georgia at Augusta University houses the Department of Neuroscience and Regenerative Medicine, with core facilities and imaging technologies supporting cutting-edge research in cellular and molecular neuroscience.

Job Summary

This position is responsible for overseeing the daily operations of the Department of Neuroscience & Regenerative Medicine, which consists of 100 faculty, staff, postdoctoral fellows, and students. It oversees all funding sources for DNRM, yearly budgets across all fund sources (up to $19.6M, including extramural grants of $9.1M annually). It manages all personnel actions, international processing, payroll, leave, outside activity, faculty recruitment, promotion and tenure, space management, effort reporting, inventory, and seminar program.

It works closely with the Chair and the Dean's Office to create financial reports and analyze data for special financial reports, grant submissions, and financial/statistical reporting.

Responsibilities
  • Human Resources Administrative Management: Prepare Position Classification Forms for faculty, staff, postdoctoral fellows, students, and affiliates; manage funding reviews, routing, approvals, critical hires, and job postings; review applicants and liaise with HR and faculty on offers.
  • Faculty Recruitment/Support: Prepare offers, route for Dean's approval, assist with degree verifications, drug screenings, startup needs, lab renovations, schedule visits, and assist with Promotion and Tenure using Interfolio; oversee outside activity (OA) forms and compliance; handle personnel issues, write-ups, evaluations, terminations.
  • J-1/H1B Scholars: Prepare paperwork for incoming scholars, visa extensions, letters, and hiring forms; coordinate with IPSO/HR on paperwork and payroll changes.
  • Payroll/Leave: Approve/enter time for bi-weekly staff, manage leave for exempt employees, advise on leave balances, and process FMLA requests.

Financial Management & Procurement: Oversee all funding sources for DNRM, manage annual budgets up to $19.6M including $9.1M extramural grants; approve daily expenditures, process pcard charges weekly; prepare budget amendments and personnel cost transfers.

  • Cap Requirements & Effort Reporting: Manage NIH cap-related effort, maintain spreadsheets, submit ePARs, monitor grant funding and FTE distribution; review effort quarterly and correct distributions as needed.
  • Equipment Inventory & Space Management: Oversee inventory of ~800 capital assets; manage space in Archibus; coordinate renovations and access; maintain the Department Emergency Plan and continuity plans.
  • Other Duties: Assist with special projects and agendas, coordinate Neuroscience Retreats and Symposia, and manage weekly Seminar Series.
Qualifications

Required: Bachelor’s degree in Business Administration or related field with six years of demonstrated administrative management experience.

Preferred: Master’s degree in a relevant field.

Knowledge, Skills, & Abilities: Proficient in Microsoft Office and related software; strong interpersonal, management, organizational, written, and verbal communication skills; ability to interact with all levels of staff; ability to work independently and maintain confidentiality; ability to exercise sound judgment and professional decision-making.

Shift/Salary/Benefits

Shift: Days;
Monday - Friday (may require work outside normal hours). Salary: $95,200-$121,400 annually. Pay Band: B16. Salary is commensurate with qualifications within the established range. Recruitment Period:
