The Dental College of Georgia at Augusta University provides dental education through hands-on education, research, patient care, and service. We serve patients in more than 20 clinics across Georgia. This role supports the coordination and administrative efforts as directed by the Director of Patient Services, with emphasis on quality control and ensuring timely graduation of senior students, reviewing proposed treatment plans, demographic information, referral requests, and patient compliance with DCG policies and protocols.
This position communicates with patients, students, staff and faculty by email, telephone, and in person to provide information, explain and resolve minor problems.
This position will assist with coordination and administrative tasks as directed by the Director of Patient Services. Responsibilities include quality control measures for on-time graduation, reviewing student treatment plans, demographic information, referral requests, and patient compliance with DCG policies. It also involves inputting rotation data, maintaining competency forms, and generating letters/reports as needed.
Responsibilities- PRE-DOCTORAL CLINICS:
Manage year-round templating for pre-doctoral clinics, build clinic books, schedule clinical chairs, coordinate patient assignments, and track/maintain master rotation spreadsheets and calendars. Ensure timely distribution of finalized schedules to student providers and support faculty, students, and patients to maintain workflow efficiency. - PCC CLINIC:
Inform Director of Patient Services and PCCs of clinical utilization; adjust schedules; complete rotation swaps; perform administrative tasks for ~300 pre-doctoral students using software (e.g., patient inactivation, assignments, no contact letters, transfers). - COLLABORATE:
Work with internal customers as needed. - MONITOR PROGRESS REVIEWS:
Schedule and monitor progress reviews for PPCs. - SCREENING PATIENTS & DATA:
Schedule screening patients, collect data for registration and coding; back up screening and EDS clinic as needed. - WEEKLY UPDATES:
Prepare weekly updates of the students’ clinical production reports. - PHONES/PATIENT ASSISTANCE:
Answer calls professionally; address questions about assignments, reassignments, and appointments; review patient charts for quality control and notify PCCs if issues are found. - QUALITY ASSURANCE:
Perform quality checks on treatment plans; advise students on corrective actions; conduct patient compliance counseling to ensure eligibility for the pre-doctoral program and adherence to HIPAA; notify PCCs/Director as needed. - OTHER DUTIES:
Perform other duties as assigned by the Director of Patient Services.
- Associate's degree from an accredited college or university with a minimum of six years of progressively responsible office support experience, OR
- High School Diploma, GED, or equivalent with a minimum of nine years of progressively responsible office support experience.
- Bachelor's degree in Business Administration (preferred).
- Experience in a medical/dental office with five years of administrative responsibilities in a multi-provider environment; experience with Axium patient management software;
Spanish language proficiency.
