Finance Assistant

Location:

Remote (Durban North, South Africa)

Salary: R15,000 per month

A UK leading independent HR Recruitment and Executive Search business, also with a Technology, Change and Transformation recruitment division are hiring for a Finance Assistant (6 month contract). They recruit for these specialist areas in the UK, Europe, Middle East and United States with offices in London and New York.

The Role

The Finance Assistant will play a key role in supporting the smooth running of the finance function, with responsibility for managing daily financial processes and providing accurate, timely information. The role covers a wide range of tasks including managing the shared accounts inbox, processing accounts payable invoices, updating trackers and reports, and ensuring data is accurately uploaded across systems such as Intime, Business Central, and Payhawk.

Collaborate with the CFO, Management Accountant, and Finance team to help streamline and automate 1520 existing processes. You will handle expenses, bank payments, petty cash, and customer onboarding, as well as support with placement approvals, invoicing, and weekly reporting.

This is a varied position requiring strong attention to detail, good organizational skills, and the ability to manage multiple priorities in a fast‑paced environment. You will be working in a dynamic finance team, reporting to the Senior Finance Manager. This position offers the opportunity to be part of an established business and to develop a first‑class finance function as well as support the Finance Team in ad‑hoc projects.

Key Responsibilities
  • Manage General Accounts Inbox – monitor and action emails from the shared inbox (e.g. labelling all emails correctly)
  • Input AP Invoices – enter all accounts payable invoices from the accounts email.
  • Upload RPO Info – extract data from third‑party systems and upload to Intime & Timesheets.
  • Maintain PO Tracker – keep the purchase order tracking spreadsheet updated.
  • Handle Ad Hoc Tasks – assist with miscellaneous administrative duties as needed.
  • Manage Payhawk Expenses – oversee expense entries and chase receipts & weekly reports on expense expenditures.
  • Post Bank Payments (BC) – record bank payments in Business Central.
  • Submit Manual Invoices – manually process Intime invoices for client‑specific requests & for OPUS.
  • Customer Onboarding – collect and input new customer banking and company details.
  • Barclaycard Management – download statements, gather receipts, and post to BC.
  • Petty Cash (Richard) – collect receipts and post petty cash transactions to BC.
  • Customer Profit Report (CPR) – update internal excel spreadsheet containing information from InTime.
  • Placement approvals – approval of all placements coming from consultants.
  • Import Placements – importing of placements from CRM to InTime.
  • Reporting T/S – sending missing timesheet reports weekly.
  • Reporting Sonovate – download and report on Sonovate data weekly.
  • Import sales – importing sales from Intime to BC (gradual).
  • Process and manage routine finance tasks in Business Central, RSM, and Excel.
  • Provide ledger and payroll assistance to the finance team.
  • Support finance processes by chasing consultants internally (mainly via email).
  • Ensure accurate and timely processing of financial data.
  • Follow established systems and procedures to maintain compliance and consistency.
What We're Looking For / Key Skills and Experience
  • 2+ years in a finance assistant position.
  • Confident communicator, especially over the phone.
  • Excellent email etiquette.
  • Well organized, prompt at dealing with queries.
  • Excel experience.
  • Systems proficient, with the ability to quickly learn new systems.
  • Desire to improve systems and processes.
  • Someone who is high energy, hands‑on, and detail‑oriented.
  • Customer‑focused approach – dealing with queries face to face, over the phone, and in written correspondence.

  • Previous experience as a Finance Assistant (or similar role) in a fast‑paced, high‑volume environment.
  • Strong attention to detail and commitment to accuracy.

  • Familiarity with finance software such as Business Central, RSM, and Sage.
  • Solid working knowledge of Excel.
  • A proactive, reliable team player who is comfortable with repetitive tasks.
