Job SummaryThis position is responsible for overseeing the daily operations of the Department of Neuroscience & Regenerative Medicine, which consists of 100 Faculty, Staff, Postdoctoral Fellows, and Students. The role manages all funding sources, yearly budgets (up to $19.6M, including $9.1M in extramural grants), personnel actions, payroll, leave, recruitment, promotion and tenure, space management, effort reporting, inventory, and seminar programs. The position works closely with the Chair of the Department and the Dean’s office to create financial reports, analyze data, and support special financial and grant submission activities.
Responsibilities- Human Resources Administrative Management: Prepare position classification forms for new/vacant roles; route and submit for approvals; prepare critical hires and job postings; review applicants; liaise with HR and faculty on job offers to staff and postdoctoral fellows.
- Faculty Recruitment and Support: Prepare job offers, route to Dean’s office; assist incoming faculty with degree verifications, drug screenings, lab startup and renovations; track academic office (OA) forms; manage outside activity compliance; support promotions, tenure, personnel issues, policy updates, and evaluations.
- International Scholars (J‑1 & H‑1B): Gather, prepare, and submit necessary paperwork for visa extensions, invitation letters, and employment offers; coordinate with IPSO/HR for hiring, salary changes, and processing.
- Payroll and Leave: Approve/enter bi‑weekly payroll; approve exempt employee leave; advise on leave balances; prepare FMLA requests and return‑to‑work documentation.
- Financial Management & Procurement: Oversee all funding sources; manage yearly budgets; approve supply and equipment expenditures; submit budget amendments; handle pCard charges and personnel cost transfers.
- Cap Requirements & Effort Reporting: Project and maintain effort for faculty under NIH cap; submit ePARs; monitor grant‑funded staffing; prepare cost transfers and effort certifications.
- Equipment Inventory: Conduct annual inventory of approximately 800 capital assets.
- Building Coordination / Space Management / CEPAR: Maintain space inventory in Archibus; coordinate renovations; approve building access and key requests; oversee the Department’s Emergency Plan.
- Other Duties: Support special projects such as Neuroscience retreats and symposiums; manage the weekly seminar series.
Bachelor’s degree in Business Administration or a related discipline and at least six years of demonstrated administrative management experience.
Preferred QualificationsMaster’s degree in a relevant field.
Knowledge, Skills, & AbilitiesProficiency in Microsoft Office and other computer software/databases.
SkillsExcellent interpersonal, management, organizational, written, and verbal communication skills.
AbilitiesAbility to interact with all levels of staff; work independently while maintaining confidentiality; exercise sound judgment and professional decision‑making.
Shift / Salary / BenefitsShift: Days;
Monday–Friday (outside normal business hours may be required).
Salary: $95,200 – $121,400 annually (commensurate with qualifications).
Pay Band: B16.
Recruitment Period: Until filled.
