JOB QUALIFICATIONS

Education: High school diploma, associate’s degree, and/or related experience preferred.

Certification or Licensure: None is required.

Skills: Working knowledge of administrative procedures and modern office practices. Ability to provide timely and accurate office support services to staff, compose routine office correspondence, set up and maintain office files, and manage office support services. Ability to operate computers and office equipment proficiently. Ability to communicate effectively. Demonstrated organizational, self‑motivation, and innovative thinking skills. Strong interpersonal skills. Ability to track and monitor timelines to ensure compliance with regulations.

Work Experience: Prior office / clerical experience preferred. Prior experience with GO‑IEP preferred.

PRIMARY DUTY

Provide administrative and operational support to the Department of Student Services by coordinating office activities; maintaining records; assisting staff, students and families; managing communications; and supporting departmental programs and events to ensure efficient and effective delivery of student services.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Support the work of the assigned supervisor(s) by providing requested administrative assistance.
  • Consistently provide excellent customer service to all stakeholders (students, employees, families, community members, etc.).
  • Manage telephone calls and deliver messages.
  • Develop and update department materials (forms, handbooks, website, reports, etc.).
  • Assist in the management of Department reference and assessment materials.
  • Assist in the receipt, inventory, dissemination, and processing of standardized test materials.
  • Create and compile reports as needed.
  • Prepare, receive, and distribute mail.
  • Monitor and request office supplies, as needed.
  • Organize and file student records.
  • Utilize GO‑IEP, Microsoft Office tools, and other software to input information, track, and monitor the status of evaluations to ensure compliance with required timelines.
  • Collaborate with the Special Education Department to monitor processes and ensure compliance with state and federal regulations.
  • Provide support to Department team members (school psychologists) to help ensure timely and thorough processing of psychological evaluations.
  • The employee shall carry out such other and further duties, whether specifically listed above or not, as are assigned or required by such employee’s supervisor, other appropriate school personnel, law, board policy, administrative regulation, department handbook, as are reasonably necessary to the efficient operation of the school system and its mission.
