This position performs responsible administrative and secretarial duties of a complex and confidential nature in support of a Vice President, the Provost, or Dean to relieve supervisor of varied clerical and administrative responsibilities. The role coordinates the daily operation of administrative and medical staff, assuring compliance to all Augusta University policy and procedures as well as the Georgia Department of Veterans Services (DVS), Georgia Department of Community Health (DCH), and Joint Commission requirements.
It also manages administrative projects, personnel actions, budgets, IT security, and confidential correspondence.
- Collect and analyze compliance data required by federal VA, state DCH regulations, and the Joint Commission.
- Maintain current licenses for all professional staff and coordinate contracts for professional services.
- Coordinate schedules and calendars for the Executive Director, Associate Director, and Medical Director.
- Coordinate personnel actions for all staff, maintain files, and verify documentation with HR and Occupational Health.
- Manage confidential correspondence and interact with department heads, veterans’ groups, and other stakeholders.
- Oversee facility IT needs, serve as IT security administrator, recommend service improvements, and conduct staff training.
- Assist with budget preparation, analyze spreadsheets, and provide recommendations on equipment purchases.
- Prepare monthly reports and publish the facility annual report.
- Participate in weekly meetings, report on data, and prepare minutes.
- Maintain policies and forms, assist in policy development, and keep them on the shared drive.
- Develop and publish program handouts, invitations, and edit the monthly facility newsletter.

- Bachelor's degree from an accredited college or university and two years of progressively responsible administrative support experience.
- OR Associate's degree from an accredited college or university and five years of directly applicable experience.
- OR High school diploma, GED, or equivalent and eight years of directly applicable experience.
- Five years of extensive computer and MS Office (Word, Excel, Publisher, Access, Outlook) experience.
- Experience in office management in a health care facility.
- Extensive knowledge of AU policies and procedures, Georgia DVS organization, People Soft & OneUSG systems.
- Proficient in Microsoft Office and other computer software/databases.
- Excellent interpersonal, written and verbal communication skills.
- Detail‑oriented with strong organizational, prioritization, and mult‑tasking skills.
- Ability to maintain confidentiality.
- All selected candidates are required to successfully pass a Background Check review prior to starting with Augusta University.
- Must complete Augusta University’s Criminal Background Check and, for GWVNH positions, the Georgia Long‑term Care Background Check.
