Administrative Assistant
This position provides comprehensive administrative support to a vascular surgery division comprising three vascular surgeons, two advanced practice providers, and one registered nurse.
Responsibilities- Maintain calendars for all faculty and staff (clinic, travel, conference, leave)
- Handle QGenda time entry and call schedule for faculty and APPs
- Coordinate travel arrangements, reimbursements, and expense reports for meetings and conferences
- Order supplies and process division requisitions
- Sort and distribute mail for faculty and APPs
- Answer phones, triage patient calls and manage patient scheduling
- Prepare clinic cancellations, schedules, and referral information for approval
- Distribute clinical notes to referring physicians
- Associate's degree from an accredited institution in a related field, OR
- High School Diploma/GED with a minimum of three years of progressively responsible office support experience
- Administrative experience in an academic or medical setting
- Strong knowledge of medical terminology
- Excellent interpersonal, written, and verbal communication skills; proficiency in Microsoft Office and relevant databases
- Detail‑oriented with strong organizational, prioritization, and multi‑tasking abilities
- Ability to maintain confidentiality
- Shift: Days, Monday–Friday
- Pay Band: B3
- Salary Range: $16.54 – $19.86 per hour (commensurate with qualifications)
