Job SummaryThis position will provide administrative support to the Department Chair and Faculty.
Responsibilities- ADMINISTRATIVE ASSISTANT TO THE DEPARTMENT CHAIR:
Support the Department Chair with daily administrative and operations functions and tasks as required, such as managing the Chair’s Outlook Calendar, scheduling meetings, taking messages, sending communications, and taking minutes in meetings. - DEPARTMENT BUSINESS OPERATIONS:
Work with the Business Operations Specialist regarding budget, purchasing, grants, department employment, payroll, travel, etc. Reconcile and maintain monthly budget reports; order all supplies and equipment; enter routine and non-routine People Soft requisitions; maintain vendor relationships; request quotes; submit invoices; manage the Purchase Card for urgent items; maintain files; reconcile monthly statements; assist with grant expenditures and travel documentation; process Foundation check requests and Inter-Departmental Requests (IDRs);
act as the point of contact for internal and external purchasing vendors. - ACADEMIC SUPPORT:
Coordinate interview schedules for faculty and staff candidates; conduct interviews, train, assign work, and review graduate assistant duties; attend departmental meetings and transcribe notes; liaise between full-time and part-time faculty for Registrar's Office requests and Academic Admissions. - FACULTY SUPPORT:
Liaise between full-time and part-time faculty to troubleshoot IT and classroom equipment issues; manage faculty offer letters and related payments; enter payroll reports for part-time faculty and oversee leave via the time reporting system. - OPERATIONS SUPPORT:
Establish and maintain inventories; coordinate surplus requests; submit work requests for facilities; coordinate maintenance. - OFFICE SUPPORT:
Greet visitors, answer and direct calls, respond to routine questions, direct inquiries to appropriate resources; manage last-minute deadlines; exercise independent decision-making in coordinating meetings; complete training requirements; maintain student files and office equipment knowledge. - OTHER DUTIES:
Perform other job-related duties as assigned.
Associates degree from an accredited college or university in a related field and a minimum of four years of progressively responsible experience in administrative support positions. OR High school diploma/GED and seven years of progressively responsible experience in administrative support positions.
Preferred QualificationsThree years of Administrative Assistant experience. Experience with budgets and financial support. Experience and knowledge of AU grants procedures and approval processes.
Knowledge, Skills, & Abilities- Knowledge: Proficient in Microsoft Office and other computer software/databases.
