Responsibilities
- Audit and pay invoices
- Responsible for auditing and payment of invoices relating to the institution Purchase Orders and Payment Requests in a timely manner. Audit shall include account code appropriateness, supporting documentation, and AU/BOR/State/Federal compliance with expense policies.
- Maintain daily workload to process payment request documents that require analysis, approval and expeditious distribution. Analysis includes completeness, accuracy, appropriateness and compliance with AU/BOR and State policies and procedures related to fund and account. Communicate any discrepancies with various departments, i.e. vendor, third-party organization(s).
- Resolve outstanding payment issues, including price discrepancies, vendor disputes and payment release issues. This includes solving invoice discrepancies and reconciling data from Purchasing, Receiving, Financial Accounting, Facilities Planning and Budget and Finance areas.
- Ensure customer satisfaction by coordinating verification of receipts for items and/or capital equipment, verifying end user receipt, item specifics and quantities, and confirming installation was completed to end user’s satisfaction.
- Audit and pay check requests, ensuring compliance with IRS accountability.
- Maintain daily workload to process payment request documents that require analysis, approval and expeditious distribution. Communicate discrepancies with various departments.
- Record retention: organize, update, and retain invoice information files and voucher audit records; contribute to continuous process improvements and exceptional customer service.
- Audit and pay employee travel: review, audit and process employee travel reimbursements and direct bill invoices; ensure compliance with AU/State/BOR/Federal policies and communicate discrepancies with departments and travelers.
- Other duties as assigned, including backing up other AP staff and cross training.
Educational Requirements
- High School diploma or GED from a recognized state or federal accredited organization with 4 years of accounting/financial support experience, or
- An Associate's degree from an accredited college or university with 2 years of related experience, or
- A Bachelor's degree from an accredited college or University.
- Graduate from an accredited college or technical school with an Associate's Degree in Accounting or related field.
- Relevant experience with, and understanding of, Peoplesoft Accounts Payable Module or SAP ERP; familiarity with contract administration; proficiency in all Microsoft Office.
- Demonstrate the ability to effectively interact with suppliers and staff.
- Ability to analyze complex issues and take appropriate corrective actions.
- Adherence to internal control requirements and procedures; demonstrated ability to work in a team environment.
- Social skills to relate with co-workers, vendors, and customers.
- Intermediate skills in Microsoft Office and People Soft Financials; high degree of accuracy and attention to detail; well organized with the ability to handle multiple priorities.
- Shift: Days/M-F
- Pay Band: 7
- Salary Minimum: $20.29/hour
- Salary is commensurate with qualifications within the established range.
