Job Summary

The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.

Department Summary

Provides specialized administrative support for Director and assigned faculty and staff members of Rural Programs department at the College of Community Health Sciences (CCHS).

Under limited supervision, assists the Rural Program Director with the day-to-day program operations, including the Rural Health Scholars Program, Rural Dental Health Scholars Program, MOORE Scholars Program, Tuscaloosa Rural Pre-medical Internship, Rural Community Health Scholars, Rural Medical Scholars Program, Rural Dental Scholars Program, and other research units.

Serves as the primary contact for department. Represents Rural Programs in administrative meetings. Travels to rural locations and and assists with recruiting efforts as needed. Maintains Rural Programs database, clinic physician calendars, and schedules for prospective student meetings and presentations. Assists with planning of various program events, including fall orientation, seminars, and convocation for Rural Programs. May supervise student workers or other clerical staff.

Assists with events held outside of normal office hours as needed.

Required

Minimum Qualifications

High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.

Minimum Qualifications

Must have valid U.S. driver's license. Must be at least 19 years of age at time of hire and have an acceptable Motor Vehicle Report that is in compliance with University policies. Applicants under the age of 21 will have some driving restrictions.

Skills and Knowledge

Excellent communication and customer service skills. Ability to work collaboratively in a dynamic setting. Ability to cope with stressful conditions. Ability to demonstrate tact, versatility, and adaptability. Ability to demonstrate a high degree of self-motivation and directional initiative. Efficient and accurate computer and data entry skills. Working knowledge of standard office software applications, including Microsoft Office and basic data platforms. Skill in exercising initiative, judgment, problem-solving, and decision-making.

Skill in organizing work to achieve department goals and objectives. Ability to analyze and interpret complex data. Ability to research and prepare comprehensive reports.

Preferred Qualifications

Bachelor's degree preferred. Experience working in a higher education (university or college) environment referred. Knowledge/experience with specific UA systems (Banner, Concur, Everest, Astra) and UA financial accounting, purchasing, and travel policies and procedures preferred.
