This is a multi-disciplinary, strategic leadership role responsible for delivering safe, efficient, and engaging workplaces across North America. The Senior Facilities & Office Manager leads office administration teams, oversees corporate facilities operations, manages vendor and landlord relationships, and supports large-scale initiatives including new office build-outs, renovations, and business continuity planning. The role blends people leadership, facilities expertise, and hands‑on execution, ensuring operational excellence while fostering collaboration across departments and locations.

Responsibilities
  • Lead, coach, and develop Office Managers and Office Administrators across North America
  • Participate in hiring, onboarding, training, performance management, and appraisals
  • Foster a culture of curiosity, accountability, and continuous improvement
  • Guide teams through organizational change with clear communication and proactive engagement
  • Act as escalation point for complex people, office, or facilities‑related issues
Office & Employee Experience Management
  • Oversee office operations including supplies, inventory, event logistics, and administrative support
  • Ensure consistency in service delivery and employee experience across locations
  • Support large‑scale internal meetings and events in partnership with vendors
  • Compose and distribute internal office communications as needed
  • Oversee day‑to‑day facilities operations across all locations
  • Manage:
  • HVAC and mechanical systems
  • Security and card access systems
  • Visitor access and coordination with property security teams
  • Plan and execute office moves, renovations, and space optimization initiatives
  • Coordinate repairs, preventive maintenance, and vendor services
  • Maintain compliance with facilities policies, risk assessments, and documentation
Health, Safety & Business Continuity
  • Ensure compliance with federal, state/provincial, and local health and safety regulations
  • Conduct safety inspections and manage emergency preparedness
  • Lead implementation and oversight of Workplace Violence Prevention Programs (WVPP), including California compliance and broader rollout as required
  • Partner with local leaders to address safety and facilities concerns
Vendor, Landlord & Budget Management
  • Manage relationships with landlords and external service providers
  • Lead vendor negotiations, onboarding, performance management, and renewals
  • Maintain a centralized vendor and resource directory
  • Partner with Sourcing on pricing and contract optimization
  • Track facilities‑related expenses, manage invoices, and contribute to budget planning
  • Oversee vendor‑managed programs (e.g., lunch program), including contracts, participation, issue resolution, and invoice review
Projects, Build‑Outs & Special Initiatives
  • Support and manage new office build‑outs, renovations, and relocations
  • Assist with research, planning, approvals, timelines, and budgeting for facilities projects
  • Engage and manage external suppliers to deliver projects on time and within scope
  • Lead or contribute to facilities‑related special projects as assigned
Qualifications
  • Proven experience in Facilities Management and Office Management within corporate office environments.
  • Strong people leadership experience, including managing managers and indirect teams.
  • Experience supporting multi‑site, geographically distributed locations.
  • Demonstrated success in:
  • Vendor and landlord management
  • Contract negotiation and procurement
  • Facilities projects and office build‑outs
  • Hands‑on knowledge of:
  • HVAC and mechanical systems.
  • Security and card access systems.
  • Comfortable operating in a highly onsite, operational leadership role.
