About the roleAs a Vendor Operations Specialist at Reserv, you will own the end‑to‑end coordination and operational execution of our vendor onboarding lifecycle. You’ll work cross‑functionally with legal, compliance, finance, and operations to ensure every vendor we engage is fully vetted, documented, provisioned, and integrated with precision and speed. This includes managing vendor system access provisioning and ensuring appropriate permissions are granted, tracked, and maintained throughout the vendor lifecycle.
Beyond onboarding, you will play a critical role in maintaining vendor data integrity, driving process improvements, troubleshooting operational issues, and providing visibility into vendor readiness through reporting and analysis. This role is essential to building a scalable, compliant, and seamless vendor experience from contract to go‑live and beyond.
What you’ll doWe need you to own vendor onboarding execution and contribute to the long‑term maturity of our vendor management framework, including:
- Coordinating all onboarding activities for new vendors, including intake, documentation review, and system setup
- Serving as the primary operational liaison between vendors and internal stakeholders (legal, compliance, finance, operations)
- Managing onboarding checklists, timelines, and milestone tracking to ensure readiness before go‑live
- Configuring vendors accurately in our systems with clean metadata, billing details, access permissions, and points of contact
- Troubleshooting vendor access issues, system errors, or onboarding blockers in real‑time and escalating when necessary
- Maintaining a centralized repository of vendor onboarding records, contracts, and compliance documentation
- Conducting regular audits of vendor data to ensure accuracy, completeness, and adherence to governance standards
- Partnering with legal and compliance teams to ensure vendor documentation meets regulatory and contractual requirements
- Identifying opportunities to streamline and automate onboarding tasks using technology and process design
- Developing and maintaining playbooks, SOPs, and templates to standardize vendor onboarding across the organization
- Training internal teams on vendor onboarding processes, systems, and documentation requirements
- Tracking and reporting on onboarding SLAs, cycle times, vendor readiness metrics, and process efficiency
- Building dashboards to provide visibility into the vendor onboarding pipeline and identify bottlenecks
- Conducting post‑implementation reviews to capture lessons learned and refine onboarding processes
- Supporting vendor risk assessments by gathering required documentation and coordinating with compliance teams
- Flagging compliance gaps, missing documentation, or potential risks proactively during onboarding
- Bachelor’s degree in business or equivalent experience in procurement, compliance, or vendor management
- 3–5 years of experience in vendor coordination, onboarding, procurement, or operational compliance
- Experience supporting vendor or operational workflows in a claims, insurance, or insurtech environment is strongly preferred
- Familiarity with the property and casualty (P&C) claims lifecycle, including common vendor types used in auto, property, or casualty claims (e.g., TPAs, IA firms, legal panels, or subrogation partners)
