This position provides administrative support for research and sponsored programs, serving as the main point of contact for faculty and staff regarding the reporting of government grants and contracts. The role requires strong knowledge of business, finance, and supports budgeting, fiscal year-end tasks, and financial reporting. Responsibilities include analyzing and managing government grants and contracts in accordance with company policies and federal, state, and local regulations.

Duties:
  • Administer and manage the financial reporting of federal grants and contracts.
  • Stay current on federal regulations and guidelines related to sponsored programs, including OMB Uniform Guidance.
  • Interpret federal agency regulations to ensure compliance; attend professional conferences for updates.
  • Oversee and monitor grant-related activity in the Banner financial system.
  • Review approved grant awards with Principal Investigators and advise faculty and staff on grant terms and requirements.
  • Monitor expenditures to ensure alignment with contract budgets and provisions; prepare and submit required invoices.
  • Ensure approved grant budgets and indirect cost rates are accurately entered into the college's financial system.
  • Review and approve expenditures for allowability and policy compliance.
  • Oversee procurement requirements specified by Spelman and sponsoring agencies.
  • Prepare required financial status reports (quarterly, semiannual, or annual).
  • Work with the Office of Sponsored Programs on budget modifications and no‑cost extensions.
  • Review general ledger activity to ensure accurate processing of journal entries.
  • Prepare grant salary allocation schedules for Payroll, Provost, and Human Resources offices.
  • Assist with time and effort reconciliation.
  • Participate in meetings and stay informed regarding changes in sponsor requirements and regulations.
  • Coordinate grant and contract closeout processes, including reconciling budgets and financial reports.
  • Participate in campus activities as needed (committees, volunteer roles, college events).
  • Serve as a liaison between Business & Financial Affairs and Government & Community Relations to identify funding opportunities.
  • Supports budget oversight for programs totaling $12-14 million.
Requirements:
  • Bachelor's degree and minimum five years of experience.
  • Knowledge of federal grant compliance guidelines.
  • Ability to handle sensitive information with confidentiality, diplomacy, and professionalism.
  • Strong oral communication skills for interacting with internal and external stakeholders.
  • Strong written communication skills for business correspondence, manuals, memos, and emails.
  • Ability to read and interpret grant proposals, federal/state/local guidelines, professional publications, and procedural manuals.
  • Intermediate/advanced skills in Microsoft Word, Excel, and PowerPoint.
