SUMMARY OF RESPONSIBILITIES:
The Accounts Receivable and Membership Services Associate supports our organization’s complex membership billing, payment processing, and customer service needs. This role ensures accurate data entry, timely processing of payments, and responsive support to members with billing or account questions. The associate works closely with the finance, membership, and database teams to maintain correct membership records and deliver a positive customer experience.
This position is ideal for someone early in their career who enjoys detail-oriented work, problem-solving, and daily interaction with members. This position offers meaningful opportunities to grow over time – both in technical skills and in responsibility – within the Finance & Operations team.
ESSENTIAL FUNCTIONS:Process incoming payments for new memberships, renewals, reinstatements, and membership add?ons.Review membership charges for accuracy before posting payments.Complete routine adjustments or corrections in the membership database (iMIS EMS).Reconcile daily payment batches and flag discrepancies for review.Provide email and phone support for members with questions about invoices, payments or membership status.Assist with basic month-end tasks related to membership revenue.Collaborate with membership team when discrepancies are found between billing product pricing in iMIS versus membership pricing sheets.Follow and help maintain step-by-step procedures (SOPs) for billing and payment tasks.Support event registration tasks during peak periods (e.g. phone registrations, verifying member status to obtain member discounts on registration).Provide occasional backup coverage for the main customer service phone line.Assist onsite at the VISION annual convention as part of the registration support team.WORKING RELATIONSHIPS:
Internal: Works directly with finance, database, membership and meetings staff.
External: Works with members, customers, event attendees and onsite event staff.
EXPERIENCE, SKILLS AND
QUALIFICATIONS:Familiarity with CRM or database systems; hands-on experience with iMIS EMS highly preferred.1-2+ years of experience in customer service, accounts receivable, administrative support, or data entry (membership association experience a plus).Strong attention to detail and comfort working with numbers and data.Clear verbal and written communication skills.Ability to prioritize tasks and manage time effectively in a fast-paced environment.Customer-first mindset with professionalism in phone and email interactions.Experience with event conference management system (eShow) a plus.Experience in Microsoft Office Suite.Ability to travel to Annual Convention and occasionally work irregular hours as required. Ability to travel to 1-2 in-person staff events annually.#J-18808-Ljbffr
