ScopeUnder the direction of the Founder & President, the Event Manager will lead and contribute to projects for various client accounts of varying scope. The manager will also be responsible for general event and administration support.
Responsibilities- Supporting the strategic design and development of client programs, including (but not limited to) creative ideation, project management, budget management, event logistics, venue and vendor sourcing, contract negotiation, registration, content and creative, onsite execution, etc.
- Serve as a trusted advisor to our amazing clients, using your expertise and ideas to help them create successful event programs that meet their organizational objectives
- Assist in the creation of proposal documents and event briefs.
- Research, evaluation and procurement of any required event vendors ranging from décor to onsite registration systems to entertainment, among others.
- Managing the registration support hotline, via phone and email, to assist event attendees with all inquiries.
- Executing attendee courtesy call campaigns to ensure event details are communicated.
- Post-event reconciliation and analysis of budgets, event attendance, qualitative feedback and survey results in preparation for debrief presentations.
- Assisting with the scheduling, note-taking, and note distribution for client planning meetings as required.
- Using Microsoft Office products and Google Docs to create templates, planning & tracking documents, reconciliation documents and summaries
- Onsite event management and execution including logistics documents, registration, set-up, tear-down, venue and vendor management, production, food and beverage, etc.
- We are a small team, so we all contribute to additional administrative duties such as maintaining onsite event supply inventory, answering and directing phone calls, managing couriers and shipments as required and other general event and office support.

- Extremely organized with a meticulous attention to detail
- Able to stay focused and prioritize while managing multiple time-sensitive priorities
- Creative and resourceful – never satisfied with the status quo and always looking for ways to improve existing processes and procedures
- Strong internet & computer processing skills including Microsoft Office suite & Google Docs (extra points if you’re a Microsoft Excel guru and/or obsessed with building beautiful Power Points!)
- Able to work in a fast-paced, agile and mission-driven organization
- A strong team player ready to roll up your sleeves
- Dedicated to the event marketing industry and continuous learning
- Able to work flexible hours, including evenings and weekends when required
- Able to travel including occasional trips to Toronto, Canada
- Minimum of 3+ years of experience in event management
- University degree and/or college diploma in events, marketing, or a related field
- Familiarity with event software (ex. Swoogo, Bizzabo, Cvent, Eventbrite, Reg Online, etc.)
- Familiarity with virtual event platforms (ex. Zoom, Airmeet, Hopin, Goldcast, etc.)
- Valid driver’s license and passport
- While performing the duties of this job the employee is occasionally required to stand, walk, sit, climb stairs, balance, stoop or kneel
- Some of the work of this position may be performed outdoors in varying climate conditions
- May be required to lift and/or move up to 25 pounds
