The Business Operations Assistant plays a critical role in supporting the day-to-day operations of a professional services organization. This position ensures operational efficiency across business operations, human resources administration, payroll, bookkeeping, tax coordination, and regulatory compliance.
The role partners with leadership to support internal workflows and implement scalable processes that enable firm growth.
Responsibilities Business Operations- Manage operational workflows supporting a billable consulting environment, project setup, new client onboarding, and revenue recognition support
- Maintain systems and processes for time tracking, billing, invoicing, and client contract administration
- Identify process improvements that increase efficiency and reduce administrative burden
- Support vendor management and internal tools across finance, HR, and project operations
- Support systems & technology coordination and vendor communication
- Assist with updating internal systems and maintaining data accuracy
- Help document internal processes and workflows
- Provide office and general team support
- Perform bookkeeping activities including AP/AR, expense tracking, journal entries, and account reconciliations
- Support monthly close, financial reporting, and forecasting processes
- Administer payroll processing, contractor payments, and commissions
- Monitor cash flow and assist with budgeting and financial analysis
- Coordinate onboarding and offboarding processes for employees and contractors
- Maintain HRIS records, employee documentation, and personnel files
- Support benefits administration, leave tracking, 401k administration and compliance reporting
- Assist with performance management workflows and workforce analytics
- Partner with leadership on headcount planning and compensation tracking
- Coordinate with external accountants on business taxes, payroll taxes, and required filings
- Maintain compliance with federal, state, and local employment regulations
- Support audits, insurance renewals, and licensing requirements
- Manage contractor classification documentation and vendor compliance
- Maintain internal policies, SOPs, and documentation
- Bachelor’s degree in Business Administration, Finance, Accounting, HR, or related field
- 1-5 years of experience in business operations, finance operations, or HR operations within a professional services environment
- Experience supporting billable consulting or staffing firms strongly preferred
- Knowledge of bookkeeping fundamentals and payroll processes
- Familiarity with HRIS, accounting platforms, and time/billing systems
- Experience working with outsourced accounting or payroll providers
- Exposure with multi-state employment compliance
- Strong attention to detail and process improvement skills
- Basic accounting skills
- Ability to operate in a fast-growing, entrepreneurial environment
- Ability to effectively manage competing priorities
- Accuracy and timeliness of payroll
- Billing cycle efficiency
- Data integrity across HR, finance, and operations systems
