Job Title: Administrative Coordinator – Vendor Relations & Procurement

Location: Edgewater Park, New Jersey

Department: Administration / Operations Support

Position Overview

The Administrative Coordinator – Vendor Relations & Procurement will manage day‑to‑day administrative support across vendor relations, supply ordering, and expense tracking. This role ensures the warehouse and office operations run smoothly by maintaining supply levels, tracking inventory, coordinating with vendors, and managing invoices/credit card usage.

Key Responsibilities
  • Vendor Management Serve as the primary point of contact for vendors and service providers. Negotiate pricing, contracts, and terms to ensure cost‑effective purchasing. Monitor vendor performance and resolve issues related to deliveries, billing, or quality.
  • Procurement & Inventory Order office and warehouse supplies (PPE, packaging materials, equipment, etc.) based on operational needs. Maintain accurate records of supply usage and ensure minimum stock levels are available. Track and reconcile supply inventory across multiple warehouse locations.
  • Expense & Invoice Tracking Manage company credit card usage, ensuring accurate expense categorization. Process invoices, verify accuracy, and liaise with finance for timely payment. Maintain monthly reports for purchasing, vendor spend, and cost analysis.
  • Administrative Support Support warehouse leadership with purchasing requests and vendor‑related projects. Prepare documentation, reports, and presentations as needed. Ensure compliance with company procurement and finance policies.
Qualifications
  • 2+ years of experience in administrative support, procurement, or vendor management (logistics/3PL experience preferred).
  • Strong organizational skills with attention to detail and accuracy.
  • Proficient in MS Office Suite (Excel, Outlook, Word); experience with ERP/WMS systems a plus.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent communication and negotiation skills.
