Position OverviewThe Executive Assistant will provide high-level administrative support to the Chief External Affairs Officer (CEAO), ensuring smooth operations and effective communication across the organization. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will serve as a key liaison between the CEAO, internal teams, and external stakeholders. Must be legally authorized to work in the United States.
Responsibilities- Act as a primary point of contact and “gatekeeper” for the CEAO, managing communications and prioritizing requests.
- Manage and maintain the CEAO’s calendar, including scheduling meetings, calls, and travel arrangements.
- Prepare and organize materials for meetings, ensuring the CEAO is informed and equipped for all engagements.
- Coordinate logistics for board and committee meetings, including scheduling, materials preparation, and follow-up.
- Oversee expense reporting, budget monitoring, and contract processing in compliance with internal policies.
- Draft correspondence, maintain records, and support special projects, presentations, and workflow improvements.
- Ability to work independently in a fast-paced environment with minimal supervision.
- Strong organizational and administrative skills with attention to detail and accuracy.
- Excellent verbal and written communication skills; ability to manage sensitive information with discretion.
- Advanced proficiency in Microsoft Teams, Outlook, Word, and PowerPoint; proficiency in Excel and Zoom.
- Familiarity with Salesforce, expense management systems (e.g., Concur, Expensify), and workflow tools like Asana.
- Ability to manage complex scheduling, travel arrangements, and board-related logistics.
- Experience supporting C-level executives in nonprofit or mission-driven organizations.
- Knowledge of corporate governance and board administration practices.
- Ability to create presentations and visual workflows using tools like PowerPoint and Lucidchart.
- Strong problem-solving skills and ability to streamline processes for efficiency.
- Commitment to diversity, equity, and inclusion in vendor and operational practices.
- Bachelor’s degree or equivalent experience required.
- Minimum of one year of experience supporting a C-level executive.
- Ability to travel at least twice annually for 2–4 days per trip.
- Demonstrated commitment to organizational mission and values.
