About The Office And Internal Events ManagerReporting to the Chief of Finance and Administration, the Office and Internal Events Manager is a proactive and highly organized professional responsible for overseeing office operations and coordinating internal events. This role ensures efficient office management, seamless event logistics, and a welcoming environment for staff and guests. The Office and Internal Events Manager serves as the primary point of contact for vendors, building management, and event planners, and is instrumental in maintaining office systems, supporting onboarding, and fostering employee engagement through well-executed internal events.
This is a 40-hour per week in-office position and is expected to be present in the office five days a week for at least the core hours of 8 am to 3 pm.
- Manage daily office activities to create a productive, safe, and welcoming space for staff and visitors.
- Support onboarding for new staff, including workspace setup, access management, and orientation materials.
- Manage the office budget, track expenses, and process vendor contracts and invoices.
- Schedule and coordinate maintenance, repairs, and procurement of furniture, equipment, and supplies.
- Order and restock office materials, snacks, and amenities; organize and maintain inventory.
- Provide technical support for meetings and troubleshoot basic IT issues.
- Communicate important office-related updates and changes to the team.
- Serve as the main contact for vendors, building management, and maintenance.
- Welcome guests, act as reception, and ensure their comfort during visits.
- Check and distribute mail, including managing PO boxes and coordinating with tenants of prior location for unforwarded mail.
- Respond to inquiries via the organization’s website, phone, and email; forward messages as needed.
- Organize weekly lunches and support staff engagement activities
