About The Department Coordinator, Internal Operations RoleReporting to the Senior Vice President of Talent and People Services, the Department Coordinator is a self‑motivated and organized individual responsible for providing executive‑level coordination and support to the Senior Vice President (SVP) of Talent and People Services, the Chief Finance and Administrative Officer (CFAO), and the internal operations team.
Responsibilities Talent and People Services (55%)- Provide support to the SVP Talent & People, including calendar management, project management, making travel arrangements, and preparing and editing communications, presentations, reports, and other documents as requested.
- Coordinate and manage administrative tasks for the recruiting process, including:
- Scheduling and preparing documentation for the interview process;
- Coordinating candidate travel and acting as reception for virtual and in‑person interviews;
- Facilitating communications between the candidate and staff involved in the hiring process.
- Coordinate and manage administrative tasks for the onboarding process, including:
- Scheduling and preparing documentation for orientation and onboarding activities;
- Coordinating new hire travel and acting as reception for virtual and in‑person orientation and onboarding activities;
- Coordinating with other Executive and Departmental Coordinators and Associates to ensure a smooth onboarding experience.
- Assist with Talent and People Services projects as needed.
- Support Internal Operations meetings with note‑taking, A/V set‑up and troubleshooting, follow‑up actions, and necessary documentation and document storage.
- Coordinate the scheduling of our Internal Operations team meetings and retreats.
- Provide administrative support to the CFAO and Manager, Risk and Finance on low‑risk agreements and contracts by monitoring the intake form, ensuring documents are in the correct format for signing, tracking signatures, and properly storing executed agreements.
- Process Internal Operations department invoices, check requests, and business agreements.
- Act as the first backup for the Office and Events Manager during absences.
- Provide support to Purpose Built’s CFAO, including calendar management, project management, making travel arrangements, and preparing and editing communications, presentations, reports, and other documents as requested.
- Provide credit card management and expense reimbursement support to CFAO and SVP, Talent and People Services.
- Provide administrative support for the Board Audit and Finance Committee.
- Manage sensitive matters with a high level of confidentiality and discretion.
- Occasional reception responsibilities for both virtual and in‑person meetings.
- A minimum of 3‑5 years of relevant experience is required. Executive support experience is preferred.
- Experience supporting remote team members and working in a virtual environment is a plus.
- Experience with event planning.
- Demonstrated ability to provide a high level of internal and external customer service.
- Superior organizational skills, attention to detail, and the ability to meet deadlines.
- Excellent written and verbal communication abilities and interpersonal skills.
